About The Position

This position serves as the Office Manager and confidential secretary to the building principal. The role involves a wide range of administrative, clerical, and secretarial duties to ensure the smooth operation of the school office.

Requirements

  • Completed at least 2 years of study (72 quarter credits/48 semester credits) at an institution of higher education OR possess an associate's (or higher) degree.
  • Proficiency using Microsoft Office applications.
  • Possess or obtain First Aid & CPR certification within 6 months of employment.
  • Keyboarding, editing, and publishing skills.
  • Provide excellent client services for students, parents, and community.
  • Effective communication skills; verbal, written and listening.
  • Possess cultural awareness and sensitivity.
  • Knowledge of FERPA laws and procedures.
  • Effective time management and organization skills.
  • Prioritize and maintain a system of organization.
  • Maintain confidentiality and be honest and trustworthy.
  • Effective analytical and problem-solving skills.

Responsibilities

  • Serve as the office manager and confidential secretary to the building principal.
  • Handle money and follow banking procedures.
  • Create and distribute weekly/monthly communication with parents regarding upcoming events and school information via newsletter, website, etc.
  • Organize office operations and procedures.
  • Design and ensure filing systems are maintained and up to date.
  • Ensure protection and security of files and records.
  • Define procedures for transfer and disposal of records according to retention schedules and policies.
  • Answer and monitor phone calls and messages.
  • Organize and manage in-district and out of district mail for the building.
  • Order and organize school supplies at the building level.
  • Monitor inventory and replenish school supplies.
  • Verify receipt of school supply orders.
  • Maintain office equipment.
  • Assist with student health needs and medications per procedures from school nurse and building administrator.
  • Assist with student health needs and nursing tasks as delegated and trained by the school nurse, if applicable; nursing tasks may include medication administration including oral medications, eye drops, ear drops, topical medications, inhalers, and epi-pens, providing standard first aid, blood sugar monitoring, documentation (charting in health room and medication logs), and monitoring and keeping necessary supplies maintained and stocked.
  • Assist building principal with administrative tasks.
  • Proofread and edit materials written by the principal.
  • Assist building principal in monitoring the school budget.
  • Be a positive team builder who works in a collaborative manner.
  • Meet multiple demands in pressure situations and maintain high levels of quality work.
  • Regularly demonstrate professionalism in appearance, actions, decisions, and overall performance.
  • Work with minimal supervision and be flexible.
  • Carry out other duties as assigned by the principal and/or as needed.
