FamilyWell Health is an AI-enabled mental health start-up dedicated to solving the women’s mental health crisis by seamlessly embedding high quality, equitable, & affordable mental health care into OB/Gyn practices. FamilyWell provides comprehensive virtual mental health services designed specifically for integration into women’s health practices and health systems. FamilyWell’s virtual care team model delivers evidence-based mental health support throughout the full reproductive lifecycle—from fertility through menopause—using the proven Collaborative Care Model (CoCM). Our tech-enabled platform seamlessly embeds coaching, therapy, and psychiatric services directly into clinical workflows, making high-quality mental health care accessible, affordable, and insurance-covered. With 95% of patients experiencing clinical improvement within four months, we're addressing one of healthcare's most underserved areas while creating a financially sustainable model for our provider partners. Following our recent $8M Series A funding, we're expanding nationwide and seeking exceptional talent to join our mission-driven team. Our team operates across a modern health tech stack — Healthie (EMR), Candid Health (RCM), HubSpot (CRM), Snowflake (data), and Sigma (analytics) — with active integrations and ongoing vendor partnerships that require real technical coordination to manage well. We're building the infrastructure for a scaled, high-quality care model, and this role is central to making that happen. We're looking for a Head of Product Operations to be the operational engine behind FamilyWell's product and technology work. This role exists because we've reached the stage where our CPO's highest leverage is in strategy, vision, and decision-making — not in managing implementation timelines, coordinating vendor escalations, and driving cross-functional projects across the finish line. That's your job. You'll sit at the intersection of Product, Engineering, Clinical Operations, and the Executive team. You'll own complex, multi-stakeholder projects end-to-end, keep our vendor relationships healthy and moving, and build the operational systems that let the product organization scale. You'll move fast, handle ambiguity well, and get things done without needing a lot of hand-holding. If you thrive on the kind of work where no two days look the same, where you're negotiating with a vendor in the morning and synthesizing a data model in the afternoon, and where your output directly determines whether a growing healthcare company hits its goals — this is your role.

Requirements

  • 5+ years of experience in product operations, program management, or a similar role in a technology company
  • Demonstrated experience managing complex vendor relationships and implementations, ideally in healthcare or another regulated environment
  • Track record of driving cross-functional projects to completion with multiple stakeholders and competing priorities
  • Strong written communication — you produce clear, structured documents that don't need editing before they go to leadership
  • Comfortable operating quickly, in ambiguity, at a fast-moving startup where the playbook is still being written
  • Technical fluency: you don't need to write code, but you can read an API doc, understand an integration issue, and speak credibly with engineers
  • Genuine AI fluency: you use Claude, ChatGPT, or similar tools daily and know how to prompt well, iterate fast, and get high-quality outputs — this is a non-negotiable part of how we work at FamilyWell and a meaningful differentiator for candidates who have it

Nice To Haves

  • Experience with health tech platforms: EHR systems (Healthie, Canvas, athenahealth), RCM vendors (Candid, Waystar), CRM/data tools (HubSpot, Salesforce), data platforms (Snowflake, Sigma)
  • Background in digital health, women's health, or behavioral health
  • Experience in a Chief of Staff, Head of Operations, or Senior Implementation Manager role
  • Familiarity with clinical operations workflows and how technology intersects with care delivery

Responsibilities

  • Own our vendor relationships end-to-end: Healthie (EMR), Candid Health (RCM), HubSpot (CRM), and others as we grow
  • Drive active implementation projects from requirements through go-live, including managing timelines, escalations, and issue resolution with vendor partners
  • Run structured vendor evaluations when we're considering new tools — define criteria, manage demos and pilots, and produce clear recommendations
  • Serve as the primary point of contact for implementation partners, escalating to the CPO only when strategic decisions are required
  • Take ownership of complex, multi-stakeholder initiatives that span Product, Engineering, Clinical Operations, and the Executive team
  • Manage competing priorities and dependencies across teams, surfacing blockers before they become crises
  • Keep projects moving fast without sacrificing coordination — you know when to push and when to align
  • Build and maintain project documentation, status updates, and stakeholder communication so nothing falls through the cracks
  • Maintain and improve the operational infrastructure of the product organization: roadmap tooling, meeting cadences, reporting rhythms, and documentation standards
  • Partner with Engineering and Data to ensure our internal tools serve the teams using them — and flag when they don't
  • Identify process bottlenecks and fix them, not just flag them
  • Use AI tools (Claude, ChatGPT) as a core productivity layer, not an occasional shortcut: drafting vendor communications, synthesizing project status, building briefing materials, and distilling complex information should all happen faster because of how fluently you use these tools
  • Model what AI-native work looks like for the rest of the team — sharing tools, workflows, and prompting approaches that help teammates do more with less
  • Partner directly with the CPO to manage her priority list and ensure the highest-leverage work is moving forward at all times
  • Attend cross-functional meetings on behalf of the CPO when appropriate, representing product interests and capturing decisions with fidelity
  • Prepare briefing materials, vendor summaries, and project status updates for leadership and board audiences
