About The Position

Eleos is hiring a Head of Operations to keep a fast-growing research nonprofit running smoothly, overseeing finance, compliance, grants, partnerships, and systems. The role involves managing an external operations firm, maintaining operational excellence, and potentially bringing functions in-house over time. The Head of Operations will build a deep understanding of the organization and its mission to make high-context decisions. Eleos is a nonprofit organization focused on understanding and addressing the potential well-being of AI systems, believing that near-future AI systems could be sentient or possess other properties worthy of moral consideration. Their work is seen as relevant to AI safety research and aims to ensure a flourishing future by navigating AI development.

Requirements

  • Several years of experience in operations, finance, compliance, people operations, or a related organizational/business operations role (e.g. chief of staff).
  • A track record of owning detailed, high-stakes work (budgets, filings, contracts) with very few errors.
  • Reliability across a broad, busy workload, with the ability to keep many things moving, follow through, and rarely drop the ball.
  • Good judgment under uncertainty, with the ability to weigh tradeoffs and determine when to handle tasks independently, involve specialists, or escalate.
  • A bias towards clarity and simplicity, with the ability to build systems that work with people’s existing workflows.
  • Readiness to build and manage a team as the organization grows.
  • Clear writing skills.
  • Care for Eleos's mission and the questions they work on.

Nice To Haves

  • Familiarity with nonprofit financial and regulatory requirements.
  • Experience with grant management or funder reporting.
  • Familiarity with the AI safety or AI welfare ecosystem.

Responsibilities

  • Oversee our external operations team, managing the relationship with the firm handling finance, people operations, compliance, and other specialists.
  • Manage finances, grants, and compliance, including reviewing tax filings, regulatory paperwork, tracking budget and runway, running the grant process, and ensuring compliance.
  • Maintain and update organizational policies, identifying needs for new policies.
  • Support the board by preparing materials for meetings and handling governance housekeeping.
  • Maintain and improve systems for tracking goals, managing tools and access, and running recurring processes, including building out a CRM for donors, prospective hires, and event invitees.
  • Support hiring and onboarding by tracking candidate leads, drafting job descriptions, managing hiring logistics, and implementing onboarding for new staff, contractors, and fellows.
  • Manage the office space and events, acting as a point of contact for the coworking space, securing additional room as needed, and supporting events and team offsites.
  • Grow the operations function by bringing functions in-house where appropriate and potentially building and managing a team of specialists as Eleos scales.
