About The Position

The Harn Museum is seeking a Tour and Program Coordinator to manage the museum's internship program, coordinate the education department's calendar of programs and activities, and schedule tours and presentations for various groups. This role also involves coordinating arrangements for visiting artists and scholars, maintaining contact lists, supporting docent education, and assisting with marketing, public relations, and grant proposals. The coordinator will collaborate with the Director of Education on the department's budget and may supervise interns and work-study students. This position requires attendance at education programs, which may include evenings and weekends.

Nice To Haves

  • Familiarity with budgets and financial business processes.
  • Experience in the creation and analysis of data collection.
  • Strong computer skills and familiarity with educational technology and software such as Microsoft Office Suite, Microsoft Teams, scheduling software, etc.
  • Familiarity with museum tours and programs is a plus.
  • Previous administrative experience is helpful.

Responsibilities

  • Recruit and coordinate the museum’s internship program.
  • Manage the overall calendar of programs and activities of the education department.
  • Coordinate tour rotation schedule of volunteer docent tour guides.
  • Coordinate scheduling for planned tours and presentations for a wide variety of groups.
  • Coordinate travel, housing, and hospitality arrangements for visiting artists, scholars, and performers in connection with public education programs.
  • Maintain contact mailing lists for outreach for all programs and for potential program participants.
  • Support docent education with scheduling, audio-visual and set-up arrangements, and materials preparation.
  • Attend and assist with docent training.
  • Attend and support education programs, which may include evening and weekend programs.
  • Provide information to the Museum Marketing and Public Relations Department used to produce and disseminate promotional materials in support of Department activities.
  • Assist with data gathering and preparation of grant proposals.
  • In collaboration with the Director of Education, monitor annual budget for the department.
  • May supervise interns and work study students.
