About The Position

Under the direction of the Pastor of Discipleship, the Guest Relations Coordinator provides leadership and oversight to all First Impressions Team (FIT) environments (Café, Greeters, Ushers/Hosts, Welcome Center) to ensure a consistent, welcoming, and ministry-focused guest experience. This role moves beyond coordination to include volunteer development, team leadership, and intentional guest engagement, ensuring that both guests and volunteers are meaningfully connected into the life of the church.

  • Must attend a Joining Crossroads class.
  • At least 3-5 years of ministry or leadership experience preferred, including experience leading teams or volunteers.
  • Strong interpersonal and leadership skills with an emphasis on hospitality and volunteer development.
  • Ability to recruit, train, and develop leaders and volunteers.
  • Ability to anticipate ministry needs and proactively address them.
  • Clear understanding of Crossroads’ religious purpose, values, and priorities.
  • Effective communication with staff, volunteers, and guests.
  • Strong organizational and systems-thinking ability.
  • Experience with Microsoft Office and Outlook.
  • Ability to take initiative and solve problems with minimal supervision.

Nice To Haves

  • Experience with Church Community Builder (CCB) or similar systems preferred.

Responsibilities

  • Provide leadership and oversight to all FIT environments, ensuring each area is staffed, trained, and executing with consistency and excellence.
  • Assist in the onboarding, training, and developing of FIT volunteers, with a focus on building team ownership and leadership within each ministry area.
  • In conjunction with Pastor of Discipleship, will develop and support team leads for Café, Greeters, Ushers/Hosts, and Welcome Center, including regular communication and periodic 1:1 check-ins.
  • Plan and lead consistent pre-service huddles to communicate vision, provide direction, and foster team unity.
  • Ensure a clear and intentional guest experience from arrival to seating, identifying and addressing gaps or friction points.
  • Personally engage with first-time guests as available and help connect them to appropriate next steps within the church.
  • Coordinate guest follow-up efforts (calls, texts, or emails as appropriate) to enhance connection and engagement.
  • Maintain and manage volunteer scheduling systems, ensuring adequate coverage and proactive communication with teams.
  • Establish and maintain systems for inventory, ordering, and organization of supplies (Café, guest bags, communion, etc.).
  • Oversee café operations, including developing or recruiting a café team lead and ensuring smooth weekly execution.
  • Ensure ushers/hosts are effectively fulfilling responsibilities, including assisting guests with seating and maintaining auditorium readiness.
  • Support the development and expansion of welcome environments, including identifying opportunities to improve presence in underutilized spaces (e.g., additional lobby areas).
  • Participate in planning and execution of major services and events (Easter, Christmas, Ministry Connect, etc.), including scaling volunteer needs appropriately.
  • Maintain clear and consistent communication with volunteers through established channels (CCB, text, email, etc.).
  • Be present on Saturday evenings and Sundays (primary workday) to oversee operations, support volunteers, and engage with guests.
  • Complete midweek responsibilities including scheduling, planning, volunteer communication, guest follow-up, and administrative tasks.
  • Coordinate with other ministries and staff to ensure alignment in guest experience and ministry efforts.
  • Fill in as needed during services when volunteer gaps arise, within allotted weekly hours and in coordination with the Pastor of Discipleship.
  • Other duties as assigned by supervisor.
