About The Position

The Guardianship Compliance Clerk is responsible for assisting with the administration and oversight of the County Surrogate's Guardianship Monitoring Program. This position helps ensure court-appointed guardians remain compliant with New Jersey's annual reporting requirements for incapacitated adults. The Guardianship Compliance Clerk monitors deadlines, reviews court filings for completeness and accuracy, and maintains electronic court records. Requirements

  • High school diploma required
  • Exceptional attention to detail and organizational skills.
  • Ability to manage multiple deadlines and maintain accurate records.
  • Strong written and verbal communication skills.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Strong computer skills, including Microsoft Office; ability to learn court case management systems such as eCourts.
  • Ability to interact compassionately and professionally with guardians, attorneys, court personnel, and members of the public.
  • Ability to work independently while contributing to a collaborative team environment.

Nice To Haves

  • Interest in law, public administration, criminal justice, paralegal studies, social services, or a related field.
  • Legal, court, administrative, or customer service experience preferred but not required.

Responsibilities

  • Monitor annual guardianship reporting deadlines and maintain an accurate compliance calendar.
  • Proactively notify guardians at least 60 days before annual reports are due.
  • Communicate with guardians regarding filing requirements and provide procedural guidance.
  • Review annual reports for completeness and accuracy.
  • Upload reports and supporting documentation into the Judiciary's eCourts system.
  • Track outstanding reports and follow up on delinquent filings.
  • Coordinate with the Superior Court regarding non-compliant guardians and assist with Orders to Show Cause and other enforcement actions.
  • Maintain accurate case records and detailed compliance logs.
  • Safeguard confidential court records and sensitive personal information.
  • Assist with special projects and other duties related to the Guardianship Monitoring Program as assigned.
