About The Position

The Customer Care division focuses on growing the trade business through various sales channels, including retail travel sellers, third-party resellers, and group sales. This division encompasses departments such as Reservation & Associate Support, Digital Support, Trade Groups, Training, Sales, Service, and Guest Services, all interacting directly with travel agents to sell products, answer inquiries, and resolve issues.

Requirements

  • Bachelor’s degree in a related field; or three to five years of related experience and/or training; or equivalent combination of education and experience.
  • Group travel reservation/booking experience is a plus.
  • Three to five years in an administrative role.
  • Product planning and travel destination knowledge.
  • Knowledge of Sales processes.
  • Knowledge and ability to read and speak to policies/procedures.
  • Strong public speaking skills.
  • Ability to build Travel industry knowledge.
  • Experience with CRMs, Microsoft Office, especially Word and Excel.
  • Dynamics experience is a plus.
  • Knowledge of Siebel preferred.
  • Time management skills.
  • Eight (8) hours or more a day of sitting; walking; standing; bending; answering the telephone; entering data into the computer; retrieving data from the computer or analyzing data from reports.

Responsibilities

  • Maintain day-to-day administrative tasks for assigned groups.
  • Respond to internal and external partners in a timely manner.
  • Assist with assigned groups and other Group Travel Specialists' groups via phone.
  • Understand and communicate group policies and procedures.
  • Monitor the growth of assigned groups and maintain group space.
  • Collaborate with departments such as Sales, Air, and Inventory.
  • Handle difficult conversations regarding space limitations and tour cancellations.
  • Participate in monthly meetings with the sales team.
  • Oversee and support the day-to-day operations and/or activities of assigned groups.
  • Maintain Siebel calendar and work requests.
  • Work on and understand weekly reports sent by management.
  • Monitor the materialization growth of assigned groups.
  • Provide oversight on group policies and procedures.
  • Assist with calls on other associates' assigned groups.
  • Prevent and solve customer issues to ensure mutual satisfaction between customer needs and business needs.
  • Manage and track all internal and external escalations from assigned groups.
  • Collaborate closely with assigned Inside Sales Representative and Business Development Manager.
  • Build solid business relationships with clients, internal partners (air, operations, and guest services), and worldwide offices.
  • Coordinate with the Inventory department to prevent issues on group bookings and ensure inventory availability or restrictions.
  • Adapt to new systems and policy changes.
  • Engage in weekly team huddles and assigned territory meetings.
