About The Position

Reporting to the Associate Director of Group Sales, the Group Sales Coordinator is responsible for promoting and coordinating Penn Museum group visits in support of institutional earned revenue growth. This role actively generates leads, develops and executes marketing and outreach communications, and cultivates relationships with prospective and returning group visitors. They manage the lifecycle of group visit inquiries, including sales, scheduling, customer service, and coordinating the day-to-day operations. The position also requires working with other departments in the Museum to ensure coordination and the best experience for our Museum visitors. As a key member of the Marketing Communications team, responsibilities also include developing promotional materials and communications, maintaining customer records, preparing sales and activity reports, and supporting strategies to increase museum attendance and revenue.

Requirements

  • High School Grad/GE Degree and 0 to 1 year of experience or equivalent combination of education and experience is required.
  • Attention to detail and the ability to balance multiple projects simultaneously are required.
  • Must be a team player.
  • Strong written and verbal communications required.
  • Ability to interface with a wide range of constituent groups and superb presentation skills required.
  • Strong computer literacy required, including database entry and reporting, spreadsheet management.
  • The work environment typically includes sitting at a desk or table, standing, walking, and stooping.
  • Occasional lifting up to 25 lbs.

Nice To Haves

  • BA/BS preferred.
  • Background in sales or marketing would be helpful.
  • Customer service, marketing, and hospitality experience preferred.
  • Experience with CRM software such as Altru or Salesforce is preferred.

Responsibilities

  • Assist the Associate Director of Group Sales in the formulation and implementation of proactive marketing campaigns, soliciting and monitoring leads based on sales goals set with the Associate Director, and pursue strategic opportunities for capturing ticket sales from targeted constituencies.
  • Schedule group visits, maintain database and track Group Sales leads, inquiries, lost business, sales revenue, send invoices and collect payment, greet groups as needed, and provide ongoing status reports to the Associate Director of Group Sales.
  • Share all necessary details about group reservations with other departments to ensure all parties are in coordination.
  • Represent Penn Museum at sales conferences and external meetings to grow group visits.
  • Follow up with customers to gather feedback and determine satisfaction.
  • Other duties and responsibilities as assigned.
