About The Position

Balboa Bay Resort is seeking a Group Rooms & Sales Coordinator, who is an enthusiastic individual with a passion for sales. The ideal candidate for our resort should be "customer service" focused and seeks to advance in the hospitality industry. The rooms & sales coordinator will be instrumental in assuring productive communication with new and existing clients, operational staff and internal reservation agents. This individual will have exceptional organization, computer, and property systems management skills. You must be self-started with keen eye-for-details. The Group Rooms & Sales Coordinator is responsible for various key administrative supportive duties throughout the sales process, from initial inquiry to event execution.

Requirements

  • One to two years of administrative experience.
  • Strong customer service skills and displays a courteous, warm and professional manner always.
  • Must possess excellent communications skills and effectively interact with all levels of employees, guests and vendors.
  • Proven ability to work independently, as well as a part of a team.
  • Well organized, outgoing, team-oriented and creative.
  • Ability to work under pressure; must be able to multi-task and possess excellent follow-up skills.
  • Ability to read, write, and understand English.
  • Advanced computer skills including Word, Excel and Outlook.

Nice To Haves

  • Previous Reservations/Catering/Sales Coordinator experience in the hospitality industry is preferred.
  • Opera and Delphi FDC experience preferred.

Responsibilities

  • Key responsibility is to be the main point of contact for Group Room Reservations.
  • Ability to maintain a professional relationship with all existing and potential customers.
  • Provides administrative support for the hotel’s Group Sales Managers and the Director of Sales.
  • Complete contracts and turnovers, including folders for Group only
  • Monitor and manage all group room blocks, cut off dates and ensures timely input of Rooming Lists.
  • Responsible for tracking group pick-up and monitoring for potential attrition possibilities.
  • Actively upsell room types to maximize group room revenue.
  • Assist in planning sales site inspections and tours (i.e. Site Form, Invites, Client Gifts)
  • Accurately preparing weekly and monthly production reporting for Sales & Revenue Management.
  • Utilize systems relating to Group Sales & Reservations: Opera, Delphi FDC and SynXis, Datavision
  • Assist Director of Sales, Group Sales Managers & Director of Leisure/Corporate Sales with various administrative needs to facilitate smooth operations. (i.e. Purchase Orders, Amenity Traces, Visit Newport Beach Incentive submissions/tracking)
