About The Position

Pyramid Global Hospitality is seeking a highly engaging, customer-focused individual to join their Reservations team as a Group Rooms Coordinator. The successful candidate will have a proven track record of developing a team to provide exceptional service, be open to learning and leading by example, and respond professionally and courteously to guests and team members, while also supporting the team both personally and professionally. This role is integral in partnering with the Group Sales team, Reservations team, and Front Desk to coordinate the group rooms booking process, ensuring each group has an exceptional experience organizing and booking their group blocks. The role involves creating a positive guest interaction to build anticipation for their visit, providing accurate information on available rooms and special events, and helping guests discover their “Wanderlust” experience. Requirements

  • Must be available to work a flexible schedule to include nights, weekends and holidays
  • High school diploma or equivalent
  • An outgoing and engaging personality
  • Computer skills
  • Excellent verbal and written communication skills
  • Ability to work in a fast-paced setting

Responsibilities

  • Help guests discover and book their “Wanderlust” experience
  • Prepare and maintain group room blocks and master accounts in the property management system
  • Coordinate with Sales team to ensure all group details are prepared and set up for their arrival
  • Set up billing patterns and ensure the accuracy of group billing and payments
  • Answer the telephone and greet prospective guests in a friendly manner using clear, verbal communication
  • Provide accurate information regarding availability, accommodation types, transportation to and from hotel, rate, etc.
  • Read, retrieve, communicate and verify information including confirmation number to caller
  • Input and retrieve data using a computer reservation system and utilizing codes for efficiency
  • Answer questions regarding hotel facilities and services, airline partnerships, local attractions, directions, etc.
  • Know, understand, and communicate applicable deposit and guarantee policies as requested
  • Handle complaints in a tactful manner and negotiate resolutions such as alternative accommodations when hotel is sold out
  • Interacts with resort staff in a polite and respectful manner
  • Other duties as assigned
