About The Position

The Crowne Plaza Kansas City Downtown, managed by Hotel Equities, is seeking a Group Rooms Coordinator. This role is responsible for processing all reservation requests, changes, and cancellations, identifying guest needs, verifying room availability and rates, and explaining policies. The coordinator will also accommodate special requests, answer property-related questions, and utilize sales techniques to maximize revenue. Key duties include communicating VIP reservation information, inputting and accessing data in the reservation system, and resolving challenges with rooming requests. The position also involves overseeing the accuracy of room blocks and reservations, inputting group rooming lists, adjusting room blocks, maintaining organized files, and setting up billing accounts according to Accounting policies.

Requirements

  • Strong communication skills are essential when interacting with guests and employees.
  • Reading and writing abilities are used often when completing paperwork, logging issues/complaints/requests/ information updates, etc.
  • Basic math skills are used frequently when handling cash or credit.
  • Problem-solving, reasoning, motivating, and training abilities are often used.
  • Ability to work a flexible schedule including nights, weekends and/or holidays.

Responsibilities

  • Process group reservations, maintain accurate room blocks, enter rooming lists, adjust blocks as needed (releasing rooms at cutoff), and manage inventory.
  • Serve as the main point of contact for group organizers, relaying details, managing expectations, and ensuring all contractual needs are met.
  • Liaise with Sales and Front Office to communicate special requests, VIPs, billing and other event details where applicable.
  • Utilize hotel systems (Marsha, LS, CI/TY) to input data, set up special codes (VIP, accessibility), manage rates and apply discounts.
  • Prepare group resumes, set up billing, review master bills, apply comps, track pickup, and handle post-event audits.
  • Handle daily reports, check for duplicates, process cancellations, and manage special rate setups.
  • Follow all policies/ processes of Hotel Equities.
  • Maintain the filing system.
  • Responsible for spelling accuracy and professional appearance of correspondence.
  • Perform other duties as assigned.
  • Take every opportunity to amaze the guests.
  • Ensures all guests are being treated in an efficient and courteous manner and that all Company standards are being applied.
