About The Position

Academy of Hope (AoH) Adult Public Charter School has served adult learners in Washington, DC since 1985. Our mission is to empower adults to earn high school credentials, build workforce-ready skills, and pursue postsecondary education. The Grants Systems Specialist plays a critical role in ensuring that grant-funded programs are well-managed, compliant, and sustainable. This position strengthens the systems, processes, and data that allow AoH to steward funder relationships responsibly while maximizing impact for adult learners.

Requirements

  • Bachelor’s degree in Public Administration, Business Administration, Finance, Accounting, Nonprofit Management, Education, Public Policy, or a closely related field
  • Minimum of five (5) years of progressive experience in grants management, nonprofit operations, or grants compliance
  • Demonstrated experience managing grants across multiple funding sources, including government, foundation, and corporate funders
  • Strong working knowledge of grant compliance requirements, reporting timelines, and funder deliverables
  • Proficiency with grants management systems and databases
  • Advanced proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint
  • Strong analytical skills with the ability to interpret grant requirements, budgets, and performance data
  • Exceptional organizational skills and attention to detail
  • Excellent written and verbal communication skills, including the ability to convey complex information clearly
  • Ability to work independently, manage competing priorities, and meet complex deadlines

Nice To Haves

  • Experience with federal grants, grants management systems, and CRM platforms such as Salesforce is strongly preferred.
  • Experience managing federal grants and navigating federal compliance requirements
  • Experience working in a mission-driven nonprofit or education-focused organization
  • Salesforce or comparable CRM experience, particularly for grants or contracts tracking
  • Experience with EGMS or similar government grants compliance platforms
  • Demonstrated experience developing grant management tools, workflows, and internal systems
  • Experience supporting audits or financial monitoring related to grant-funded programs
  • Strong cross-functional collaboration skills, particularly with finance, programs, and senior leadership
  • Ability to train or support staff on grant requirements, compliance expectations, and internal processes

Responsibilities

  • Manage pre- and post-award grant operations across government, foundation, and corporate funders
  • Maintain grant calendars, deliverables, and deadlines within AoH’s grants and CRM systems
  • Coordinate cross-departmental workflows for proposals, reporting, payments, and compliance documentation
  • Prepare and submit grant modifications, funder updates, and close-out materials
  • Develop internal grant management tools, timelines, protocols, and briefing materials
  • Provide regular training and guidance to staff on grant requirements and internal processes
  • Close out completed grants and ensure all required documents are submitted.
  • Secure philanthropic support by writing and editing grant proposals for grants under $50K.
  • Interpret and communicate funder requirements, including federal, state, and local compliance standards
  • Prepare grant budgets, budget narratives, and financial components of proposals
  • Support grant budget setup and ongoing monitoring in collaboration with Finance
  • Produce financial reports, spending projections, and compliance documentation
  • Assist with audit preparation and documentation as needed
  • Serve as system administrator for grants and contract management platforms
  • Maintain AoH's Grants accurate and complete grant records within the donor database (Salesforce )
  • Generate dashboards, reports, and summaries for leadership and internal stakeholders
  • Support data entry, reporting, and coordination with performance and evaluation staff
  • Partner closely with program, finance, and advancement colleagues to support institutional goals
  • Perform additional duties aligned with the needs of the Advancement and Finance teams
