SUMMARY: The Grants Manager is responsible for researching, writing, and managing grants and funding proposals to support the mission and strategic goals of Iona Senior Services. This role coordinates all aspects of the grants process, from prospecting and proposal development to reporting and compliance, in partnership with Iona’s programs and finance teams. The ideal candidate is an excellent writer, strategic thinker, detail-oriented, and passionate about nonprofit work.

Requirements

  • Bachelor’s degree in nonprofit management, communications, public administration, or related field.
  • 3+ years of experience in grant writing and management in the nonprofit sector.
  • Experience with grant databases and CRM systems (e.g., Virtuous, GrantStation, Fluxx, Foundant).
  • Proven track record of securing and managing grants from foundation, corporate, and/or government sources.
  • Ability to analyze data with attention to detail.
  • Excellent writing, editing, and organizational skills.
  • Ability to manage multiple projects and deadlines with minimal supervision.
  • Strong attention to detail, discretion, and ability to handle confidential information.

Responsibilities

  • Conducts research to align funder priorities with organizational needs.
  • Identifies new grant opportunities from foundations, corporations, and government agencies.
  • Develops and manages grants calendar and pipeline.
  • Oversees the entire cycle of our grant process, including researching prospects, developing and managing production of well-written, high-impact and tailored grant proposals, applications, progress reports, draft budgets, and other collateral materials as needed.
  • Works in coordination with the Chief Development Officer, CEO and other departments within Iona to gather the necessary information to ensure proposals and reports are comprehensive and compelling; follows up with leadership as necessary to ensure accountability.
  • Thoroughly reviews grant agreements and donor requirements and works with Program staff to monitor compliance. Maintains all grant-related documentation, including grant agreements and other materials pertaining to grant awards.
  • Assists with the coding of budget expenditures to ensure compliance with donor requirements and restrictions.
  • Tracks grant proposals from submission through closeout.
  • Work closely with program, development, and finance teams to align funding with program needs.
  • Build and maintain relationships with funders and institutional donors.
  • Support donor stewardship efforts with timely updates, thank-you letters, and site visits.
  • Assists with new proposal preparation and submission for funding opportunities; refines budgets; completes paperwork; assists with review of the finished proposal; and submits documents on or before the due date.
  • Coordinates grant submission applications; submits new or continuation grant applications, including prospect research, as appropriate.
  • Works in coordination with the with the Director of Development and Communications, Executive Director and other departments within Iona to accomplish grant submissions.
  • Draft compelling grant proposals, letters of inquiry, and applications.
  • Collaborate with program and finance staff to gather necessary data, narratives, and budgets.
  • Ensure all grant submissions are completed accurately and on time.
  • Reports on institutional partnerships to the Chief Development Officer on a regular basis; tracks and maintains records of donor actions and contacts in the development database; and conducts ongoing analysis to track performance and deliverables.
  • Collaborates with program staff throughout the lifecycle of grant processes beginning with the development of grant budgets, monthly and/or quarterly budget monitoring and reporting, including where matched donor funds are being reported, project audits, budget realignments, and grant closing and final reporting.
  • Prepares financial reports for submission to donors per required reporting schedules and reporting requirements.
  • Communicates interim and final progress reporting requirements with each budget manager, providing needed documents and due dates that allow for timely processing.
  • Develops schedule and maintains calendar for internal and external reporting for all program staff.
  • Maintains information related to grant administration reporting in one central place and acts as a central grant repository.
  • Manage post-award compliance, including reporting requirements and deliverables.
  • Track grant progress and funder communications in a grants management system or database.
  • Prepare interim and final narrative and financial reports.
