About The Position

The Grants Coordinator is essential in supporting and strengthening the development, submission, and management of public and private grant funding that advances SOAR's regional economic and community development strategy across Eastern Kentucky. This role is responsible for coordinating and enhancing the full lifecycle of grants, from research and proposal development to compliance, performance tracking, reporting, and funder stewardship. The Grants Coordinator will work collaboratively across SOAR teams to ensure alignment between funding opportunities, program implementation, program implementation, measurable outcomes, and financial stewardship. The Grants Coordinator plays a critical operational and strategic support role in strengthening SOAR's grants infrastructure, improving performance monitoring, and ensuring compliance with federal, state, and foundation requirements. This is an in-office position at SOAR's main office in Pikeville with occasional travel throughout the region as needed.

Requirements

  • Bachelor's degree in nonprofit management, public administration, communications, business, or related field (or equivalent experience)
  • Minimum of two (2) years of experience in grant writing, grants management, nonprofit development, or related field
  • Strong writing, editing, and proofreading skills
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple projects and deadlines in a fast-paced environment

Responsibilities

  • Research and identify prospective federal, state, and foundation funding opportunities aligned with SOAR's mission and strategic priorities
  • Coordinate the preparation and submission of grant applications, including timelines, required documentation, and attachments
  • Draft and edit proposal narratives in collaboration with program leadership and the Chief Program Officer
  • Develop proposal budgets in coordination with finance team
  • Maintain a comprehensive grants calendar with deadlines, reporting requirements, and renewal timelines
  • Ensure proposals reflect measurable outcomes, strong evaluation frameworks, and alignment with funder priorities
  • Track active grants and monitor compliance with funder guidelines and requirements
  • Monitor grant implementation progress against milestones, deliverables, and performance benchmarks; proactively identify risks and communicate recommendations to the Chief Program Officer
  • Track completion percentages and funding utilization to ensure alignment between program execution and approved grant budgets
  • Coordinate and prepare grant modifications, budget realignments, no-cost extensions, and other formal amendments in compliance with funder requirements, in collaboration with program and finance teams
  • Coordinate collection of program data, outcomes, and success stories for reporting
  • Prepare and submit interim and final grant reports in collaboration with program and finance teams
  • Maintain accurate and organized electronic grant files and documentation
  • Support audit readiness and documentation related to grant-funded activities
  • Maintain systems to track grant submissions, awards, reporting deadlines, performance metrics, and outcomes
  • Develop concise impact summaries and outcome briefs to support funder stewardship, renewals, and strategic communications
  • Identify opportunities for grant renewals, extensions, or expanded funding based on program performance and emerging funding priorities
  • Assist in standardizing language, data points, and performance metrics across proposals
  • Work closely with finance to reconcile expenditures and support financial reporting
  • Contribute to improving internal grants processes and workflow efficiencies
  • Support preparation of briefing materials for funder meetings, presentations, and site visits
