About The Position

The Grants Compliance Coordinator is responsible for compliance and management of all grant post-award activity, including grant activity monitoring, interpreting regulations and policies for the state and federal funding agencies; monitoring funded projects to prevent over-expenditure of funds, auditing disallowances, and ensuring awards are fully expended. This role plays a central part at Houston City College (HCC) in keeping everyday operations running like clockwork. Requirements

  • Bachelor’s degree in Business or related field
  • 3 years related work experience in a grant-related management, compliance, and monitoring positions

Responsibilities

  • Monitor all federal and state grant programs for compliance with federal, state, and College regulations, policies, and procedures.
  • Provide technical assistance and training to Program Directors/Managers, Sub-Grantees, and System-wide faculty and staff.
  • Communicate fiscal and regulatory responsibilities to faculty and staff involved in Grant Administration, including, but is not limited to, establishing operational budgets, program requirements, interpretation of allowable costs, time and effort reporting requirements, inventory requirements, necessary documentation, etc.
  • Ensure that required reports are being submitted to the appropriate funding agencies on a timely basis as required.
  • Conduct monthly monitoring meetings to review fiscal and performance activities and provides information to Project Managers to adjust spending.
  • Prepare monthly reports detailing the status of funded awards.
  • Assist Project Managers in drafting sub‐agreements, MOUs, and similar documents and secures appropriate approvals.
  • Secure appropriate approvals for contracts, subcontracts, agreements, and memorandums of understanding.
  • Stay abreast of current issues in Grants Management by attending relevant conferences/workshops and using attained knowledge to train staff and enhance program documentation.
  • Conduct periodic audits of program documentation for compliance with rules, regulations, policies, and procedures (local, state, and federal).
  • Monitor program performance including contracts management activities (activities may include, but are not limited to ensuring that reports are completed on time, are reflective of contractual outcomes, and include all necessary data).
  • Stay current with all federal regulations and guidelines.
  • Work with the Grant Accounting Office to ensure appropriate distribution of funds and that all grants/contracts are closed-out properly.
  • Perform other duties, tasks and assignments as required.
