This position is part of the grants and contracts administrative team, focusing on assisting staff with proposal submissions, processing contract requests, maintaining tracking systems, and providing general administrative support. Requirements

  • At least 1-2 years demonstrated administrative experience.
  • High degree of detail-orientation and accuracy.
  • Able to work both independently and in collaboration with others.
  • Fluent in relevant computer programs in a Microsoft environment including: SharePoint, Outlook, Word, Excel, PowerPoint.
  • Competency in Adobe Acrobat Pro app.
  • Experience with online customer relationship management platforms.
  • Enjoy working with many different people, juggling multiple tasks in an organized way; able to manage expectations and tasks with individuals at all organizational levels.
  • Excellent time and deadline management, task management and team relationship skills.
  • Excellent written, verbal, and interactive communication and typing skills.

Nice To Haves

  • Previous knowledge and experience with nonprofit grants and/or contract processing a plus.
  • Salesforce a plus.
  • Demonstrated familiarity with legal terminology and grant processes a plus.

Responsibilities

  • Assist program staff through the proposal lead up and submission process, including communicating with staff, ensuring tracking elements are created and updated, compiling organizational and financial components of proposals, uploading final documents to funder portals, and recording progress in tracking systems.
  • Process grants and contracts received, including reviewing award agreements, obtaining signatures, electronically filing signed versions, recording incoming donations, creating deliverable reminders, monitoring upcoming deliverables, coordinating report requirements, and ensuring grant correspondence is available on SharePoint.
  • Maintain archived proposal history and ensure ongoing accessibility of organizational requirements on the intranet.
  • Create new processes to facilitate workflows and communicate procedures to staff.
  • Register and maintain organization portal accounts.
  • Draft contracts from templates, obtain internal legal review, provide external party review opportunities, finalize approved negotiated contracts, and facilitate full execution via e-signatures.
  • Collaborate with internal program teams and external partners to move documents from drafts to final versions.
  • Ensure final versions of contracts are electronically filed on SharePoint and create/update contract records in Salesforce.
  • Track progress of agreements in Salesforce and alert staff when contracts are expiring; prepare amendments as requested.
  • Obtain and file vendor and funder requirements (e.g., IRS W9, insurance certificate).
  • Provide administrative support, including potential Salesforce-related tasks (reports, prospecting), registering/maintaining organizational accounts on various portals, and completing vendor/funder requests for information.
  • Assist the finance team with projects and other tasks as needed.
  • Other duties as assigned.
