About The Position

The Center for Genomic Medicine (CGM) at Massachusetts General Hospital (MGH) is a leading research hub for genomics and precision medicine. MGH has the largest hospital-based research program in the US, and the CGM is a cross-departmental center focused on discovering, treating, and preventing genetic diseases. The center comprises over 40 Harvard Medical School and MGH faculty and approximately 250 genomics researchers, and collaborates with the Broad Institute of MIT and Harvard. We are seeking a Senior Grants Administrator to play a crucial role in the financial management of the CGM's scientific portfolio and to support its overall mission. Reporting to the Administrative Director, the incumbent will work with Principal Investigators (PIs) to develop grant submissions, manage financial transactions, forecast budgets, monitor fund statements, resolve accounting issues, and act as a liaison to grantor agencies and subcontracting institutions. The Grant Administrator will be assigned to specific PIs within the CGM, becoming familiar with their teams and grant-related activities.

Requirements

  • Bachelor’s degree preferred.
  • 3+ years of relevant financial and/or administrative experience required; proven experience with budgets of more than $10 million.
  • Demonstrated financial and/or grants management experience in an academic medical center is preferred.
  • Must possess excellent interpersonal, communications and problem-solving skills.
  • Demonstrated ability to manage multiple tasks and competing priorities with excellent attention to detail.
  • Must be able to work independently, exercise discretion and maintain strict confidentiality. Self-directed learner who can work with a high degree of independence.

Responsibilities

  • Responsible for the overall full-cycle grants management for a large portfolio of CGM PI funds.
  • Coordinates grant proposal preparation and submission.
  • Prepares detailed budgets and justifications; prepares materials for financial reports.
  • Develops and monitors spending with PI’s including salary allocations and purchase commitments. Prebudget as necessary and allowed throughout the grant cycles.
  • Provides timely closeout of all expired projects through the coordination of fiscal and administrative resources throughout the system.
  • Designs, develops, and implements budgeting and forecasting tools to support and provide direction in decision making that helps effectively allocate resources in support of the Center’s strategic goals.
  • Reviews, adjusts, and submits bi-annual Effort Certification Reports for the Center to ensure compliance with USG guidelines.
  • Interacts with MGB Research Management and Research Finance staff in establishing and monitoring active funds and in terminating expired funds. Collaborate closely with Research Finance to resolve complex accounting issues.
  • Monitors expenditures and assures budgetary compliance; verifies, identifies, and evaluates excessive charges; analyzing cash flow to prevent deficit spending.
  • Stays current with all new and existing regulatory requirements and institutional policies/procedures, keeping PIs and departmental leadership informed of changes.
  • Works with Principal Investigators and Fellows to research and identify new sources of funding.
  • Responsible for complying with MGB Finance practices, including policy and procedure compliance, benefits, and payroll changes.
  • Possesses a thorough understanding of current research related policies and procedures, guidelines, and standards for research entities. Ensures proposal compliance with hospital and grantor policies and procedures, as well as those of sub-contracting institutions.
  • Works individually, and collaborates with CGM Administrative Team, on ad hoc special projects as needed.
  • Participate in department, hospital, and/or system-wide groups and task forces as requested and appropriate. Attend MGH, regional and local research management meetings.
  • Represents the CGM as a “grant management expert” on hospital committees, external meetings and symposiums.
