About The Position

The Grant Accounting Manager (GAM) reports to the Director of Grant Accounting and Reporting and serves as the financial information contact and liaison for program staff. This position provides financial information in line with donor guidelines and participates in the grant proposal process. This position is responsible for tracking grants made by the organization, obtaining and maintaining reports required from grantors, managing correspondence, annual reports, and special projects.

Requirements

  • BA degree in accounting, business, or related discipline.
  • 5+ years of non-profit financial experience required, preferably related to grant accounting and project financial management.
  • Effective organizational and planning skills.
  • Proficiency with Microsoft Office 365 and advanced Excel skills required.
  • Understanding grant budgeting, management, controls, and compliance requirements.
  • Ability to convey information clearly and effectively.
  • Excellent project financial management skills with experience in project tracking and reporting.
  • Excellent interpersonal and presentation skills.
  • Flexibility: must be willing and capable of adapting to changing priorities and deadlines.
  • Ability to take initiative and complete project assignments independently or as part of a team.
  • Ability to prioritize work, meet deadlines, and produce quality results on time with attention to detail.

Nice To Haves

  • Proficiency with Microsoft Dynamics 365 Business Central preferred, particularly general ledger modules.

Responsibilities

  • Overall responsibility for granting lifecycle financial support, including budgets, modifications, financial reports, timelines, and tracking to ensure compliance with organization and funder policies.
  • Establish a regular meeting schedule with program team members to keep them informed of the current financial status of their programs compared to budget and total grant funding.
  • Provide advice and guidance to assist with program planning and priorities to meet the requirements of the grant.
  • Monitor and identify opportunities to modify grant budgets to ensure all program expenditures are covered.
  • Prepare financial reports and attachments in accordance with agreement requirements and submit them to funders, in consultation with the program team.
  • Provide timely responses to funder questions, as needed.
  • Monitors paperwork and other related documents connected with grant-funded programs.
  • Meet regularly with programs staff to discuss the budget vs actual expenses report.
  • Work with finance team members on a quarterly/annual organizational budget.
  • Provide staff training on budget and financial management, and reporting requirements.
  • Control allocation of expenses to projects in accordance with funding source guidelines and approvals.
  • Prepare and enter general ledger journal entries as needed.
  • Review grant expenses on a weekly basis.
  • Review program staff time allocations and journal entries (credit cards, staff expenses).
  • Assist in donors and annual audits as needed.
  • Crosstrain team members in all aspects of accounting and financial management to ensure operational coverage.
