About The Position

A mission-driven organization in the philanthropic and nonprofit space is looking for a Grant Workflow and Application Support Specialist to own the backend grant pipeline and keep funding activity moving without relying solely on founder bandwidth. The organization supports philanthropic and nonprofit initiatives through operational, fundraising, and impact-focused work. The team is lean and founder-led, built for someone who can bring structure and consistency to grant operations at scale. Day-to-day, the role spans sourcing and qualifying funding opportunities, maintaining a structured opportunity matrix, producing first drafts of LOIs and proposal responses, and tracking deadlines and submissions across multiple applications simultaneously. Success means a more consistent and timely submission pipeline, reduced founder review time, and reusable draft libraries that keep grant activity scalable.

Requirements

  • Must-Have Experience managing an end-to-end grant pipeline, from opportunity sourcing and qualification through drafting support and submission tracking
  • Hands-on use of grant database platforms (e.g., Instrumentl, GrantStation, Foundation Directory) for opportunity sourcing and eligibility review
  • Proficiency with Airtable and Google Sheets to build and maintain structured trackers and opportunity matrices
  • Demonstrated experience producing first drafts of LOIs and grant proposal responses within defined workflows
  • Experience extracting and organizing application requirements (questions, word limits, attachments) into review-ready documentation
  • Working proficiency across Google Workspace (Docs, Drive, Calendar) and email/calendar coordination tools
  • C1+ English (CEFR) for client-facing written communication and summarizing complex grant requirements

Nice To Haves

  • Prior experience supporting nonprofit or philanthropic grant research, LOIs, or proposal workflows
  • Experience building reusable content libraries or response repositories for recurring grant questions
  • Experience working with small, founder-led, or lean teams
  • Light project management experience coordinating parallel workstreams
  • Familiarity with AI-assisted drafting tools (e.g., Gemini) used to produce review-ready outputs
