About The Position

This position requires the ability to work independently, exercising sound judgment and initiative. Under general direction of the Trust and Foundation Supervisor, and in compliance with the Articles of Incorporation and Bylaws, as appropriate, assists with the activities involving the DAV National Service Foundation (NSF), including The Columbia Trust fund, the DAV Charitable Service Trust (CST), the Disabled Veterans’ Life Memorial Foundation (DVLMF), and performs related work as required.

Requirements

  • High school diploma or equivalent required
  • Must be a detail-oriented, self-starter with the ability to work both independently and as part of a team, when appropriate
  • Must have the ability to interact professionally, exercising good judgment, with constituents both internal and external to the organizations
  • Must possess excellent verbal and written communication skills, including an accurate use of both the content and presentation of the content to others
  • Must utilize strong skills in organization, problem solving, and prioritization of tasks
  • Must have computer literacy, including proficient knowledge of Microsoft Outlook, Word and Excel
  • Ability to organize, prioritize, process large volumes of work to meet deadlines

Nice To Haves

  • 2 years college preferred
  • Three or more years of experience in an administrative role, and experience working in grants, research, accounting or charitable programming is preferred

Responsibilities

  • Review incoming grant requests for completeness and appropriateness with respect to the entities’ current guidelines for funding
  • Analyze the (narrative) applications, annual financial documents, governance materials, entity budgets, program-related budgets, and other materials for grant-seeking organizations
  • Compose a thorough summary of each grant application and a developed recommendation for the entities’ Administrator and/or governing boards and committees, as appropriate
  • Draft and distribute correspondence concerning the approval/rejection of a grant request and any affiliated items associated with the final decision, such as grant contracts or payments
  • Maintain relevant information of applicant and/or grant data, including updates to applicant and/or grant data as prompted by changes in organizational leadership
  • Adhere to the policy and procedures for record retention with regard to grant and donor related items
  • Develop a thorough and current knowledge of each entity with the ability to articulate the information, as requested, to varying constituents
  • Serve as a liaison between both internal and external individuals concerning grants from the appropriate entities
  • Review grant accountability reports to ensure compliance in accordance with executed grant contracts
  • Assist in the selection and preparation of grant data for use in annual reports, magazines, board meetings, budgets, and other high priority items
  • Enter and process donations given to each departmental entity
  • Maintain accurate hard copy and electronic files of donor data, including updates to donor records
  • Create acknowledgments, receipts and other notifications for donors in a timely basis
  • Reconcile financial information daily, monthly, yearly; and troubleshoot discrepancies
  • Provide other assistance to the Department as assigned by the Supervisor
