About The Position

Under general supervision, this role involves researching, developing, and implementing grant projects. The Grant Administrator will provide information, technical support, and guidance on grant planning for public facilities or public services. This includes gathering data, writing grants in collaboration with other agencies, working with citizens on grant applications, and interpreting grant guidelines. The position also involves preparing statistical information, identifying grant priorities, developing comprehensive reports on grant funding activities, and monitoring compliance. The Grant Administrator will consult with others to determine grant applicability, coordinate information between departments, and plan the distribution of grant funds. This includes preparing RFPs, developing implementation plans, and providing technical assistance to applicants. Responsibilities also include receiving applications, making recommendations, determining eligibility, conducting staff reviews, overseeing meetings, scheduling community events, preparing agendas, conducting presentations, and providing staff support. The role requires preparing grant proposals, reviewing application materials, developing grant proposals, establishing objectives, and communicating program requirements. Additionally, the Grant Administrator will prepare regulatory reports, direct and monitor grant program activities, evaluate results, attend funded project evaluations, and ensure deadlines are met. The position involves tracking grant fund disbursements, monitoring public facilities project progress, enforcing contracts, conducting contract implementation, preparing amendments, monitoring and analyzing budgets, reviewing construction pay applications and change orders, visiting construction sites, reviewing design scope changes, and monitoring agencies for federal compliance. This role requires the ability to multitask several public facilities/public services projects in different phases and work on daily tasks concurrently.

Requirements

  • A Bachelor's degree or higher in Business or Public Administration, English, Social/Behavioral Science, or related field.
  • Texas Class "C" Driver's License or equivalent from another state.

Responsibilities

  • Conduct research and provide information, technical support and guidance on grant planning of public facilities or public services documentation.
  • Gather and analyze data for grant opportunities by researching funding sources availability utilizing the Internet, grant foundation publications and contacts.
  • Write grants in collaboration with other non-profit agencies and governmental entities.
  • Work with citizens to apply for grants, develop grassroots community organizations and provide staff support as required.
  • Interpret and communicate grant guidelines and regulations with citizens and staff.
  • Prepare statistical information.
  • Assist in identifying and analyzing grant priorities.
  • Develop comprehensive documents for reporting on grant funding activities, including assisting in the preparation of reports to federal agencies and long-term planning documents.
  • Oversee and monitor compliance activities with other divisions, outside agencies, staff and citizens.
  • Consult with others in department or within the City to determine applicability of grant.
  • Coordinate information between departments and agencies regarding grant information and status.
  • Plan and conduct preparation and distribution of grant funds for Public Facilities or Public Services.
  • Prepare templates for Requests For Proposals (RFP), letters of intent, citizen request forms, and funding applications.
  • Develop request for proposals.
  • Develop plans to implement grant or funding programs, activities or services.
  • Provide technical assistance to prospective applicants, including general grant writing training.
  • Receive applications, make recommendations for improvement, determine eligibility and conduct staff reviews to make recommendations, provide oversight to steering committee meetings, schedule community meetings, prepare agendas, prepare and conduct presentations and provide staff support.
  • Prepare grant proposals and assist in grant implementation and oversight in programs or projects.
  • Review and research application materials to obtain pertinent information.

  • Track Public Facilities project progress, enforce contract, conduct contract implementation, prepare contract amendments, monitor budgets, analyze budgets, review construction pay applications, construction change orders, visit construction sites, review design scope changes, monitor agencies for federal requirements compliance.
  • Review and monitor progress in procurement, design and or construction plans.
  • Ability to multi task several public facilities/public services projects in different phases and work on daily tasks concurrently.
