About The Position

Montgomery College, Germantown Campus, seeks candidates for a Full-time Graduation Technician in the Records and Registration department. The work schedule is Monday, Wednesday, Thursday, and Friday 8:30am – 5:00pm, Tuesday 10:00am – 6:30pm. This is a Bargaining, non-exempt, grade 21 position. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College. This position is eligible for telework (1) day a week after probation period. Telework eligibility and total days per week are subject to change based on the operational needs of the applicable unit/area. Montgomery College does not currently offer voluntary remote work, or withhold payroll taxes for states outside of its tax reciprocity agreements. As a result, employees must reside in, and perform any approved telework from Maryland, Washington, DC, Virginia, West Virginia, Delaware, or Pennsylvania. Employees residing in other states at the time of hire are not eligible for telework until they have secured a permanent residence in one of the states listed above. Under general supervision, conduct degree audits to determine student eligibility for graduation, send graduation information to students, and process graduation applications and course substitution forms. Assist Records and Registration staff with grade changes, transcript requests, and course registration. Service is provided through in-person front counter service, phone video conferencing and email conversations to students and the general public. The work of this job class entails the performance of specific rules, regulations or procedures and typically includes a complete portion of an assignment of broader scope. The work product or service influences the accuracy, reliability, or acceptability of further processes or services. Duties involve a variety of processes, methods and decisions regarding what needs to be done, which may depend on examination of the subject matter. The chosen course of action may have to be selected from several alternatives. Contacts are with the general public, faculty, students, Records and Registration staff, Central Receiving staff, and vendors.

  • High school diploma or G.E.D.
  • Three years of general office experience.
  • An equivalent combination of education, training, certification, and experience that provides the knowledge and skills needed to perform the essential duties of the position may also be considered.
  • Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.

Responsibilities

  • Review graduation applications and conduct degree audits to determine whether students have met program requirements.
  • Enter and maintain prospective graduate information in College systems.
  • Notify students of their graduation status and order diplomas and certificates for eligible graduates.
  • Prepare graduation reports for staff, faculty, and administrators.
  • Develop and maintain the official list of graduates for the commencement program, including honors and Phi Theta Kappa designations.
  • Provide students with information about graduation requirements, deadlines, and commencement activities through email, mail, phone, and in-person assistance.
  • Participate in graduation fairs and other activities designed to help students prepare for graduation.
  • Serve on the Commencement Committee and assist with commencement planning, rehearsals, and ceremonies.
  • Prepare graduation verification documents and invitation letters for prospective graduates.
  • Assist students with registration for credit courses and review requests for waivers and special permissions.
  • Respond to questions about graduation, commencement, registration procedures, course offerings, and academic regulations.
  • Process requests involving student academic records, including official transcripts and enrollment verification, in accordance with College policies and applicable state and federal requirements.
  • Receive, review, and process course substitution requests.
  • Maintain accurate student information while protecting the confidentiality of student records.
  • Perform other duties as assigned.
