About The Position

This open competitive advertisement is for a Career Service position located at Central Office in Tallahassee, FL in the Office of Information Technology. The mission of the Office of Technology in the Florida Department of Corrections (FDC) is to provide innovative, reliable, and secure technology solutions that support the Department's operations and strategic goals. This position is not a telework position and is required to report to the FDC office in the area it serves.

Requirements

  • Must have two (2) years of experience as a lead worker or management experience.
  • Must have two (2) years of experience working with MyFloridaMarketPlace/Ariba on Demand or comparable accounting system.
  • Must have experience in coordinated purchasing activities, including processing vendor invoices and tracking approvals.
  • Must have experience with reconciled payments or invoice records between procurement and financial systems.
  • Must have experience in contract administration, such as monitoring deliverables or tracking contract assignments.
  • Must have three (3) years of experience with Microsoft office products including Word, Excel, PowerPoint, Microsoft based emails and calendaring or equivalent.
  • Must have experience developing and managing budgets.
  • Must have experience in reviewing, analyzing and evaluating data.
  • Must have knowledge of state purchasing requirements including section 287.057, Florida Statutes.

Responsibilities

  • Assists the Office of Information Technology (OIT) Bureau Chief of IT Business Solutions (Bureau Chief) with workflow management tasks relating to OIT administrative programs such as procurement, contract management, personnel, and procedure revisions.
  • Assists the Bureau Chief in ensuring that OIT services are delivered with a high degree of customer service and satisfaction.
  • Assist the Bureau Chief by coordinating activities related to purchases, contract administration, vendor communications, and invoice processing.
  • Assists in preparing/ editing documentation/procedures, tracking approvals, and facilitating responses to requests from senior supervisory or administrative staff.
  • Assists in the oversight and compliance monitoring of OIT contracts under the guidance of the Bureau Chief and/or Senior Program Analysts.
  • Supports the management of various OIT agreements, including contracts, data sharing agreements, memorandums of agreement/understanding (MOAs/MOUs), and contract addendums.
  • Assists in the assignments of contracts and tracks/maintains contract assignments.
  • Provide technical assistance in the preparation of contract management plans and help validate that deliverables have been appropriately received and documented.
  • Performs administrative tasks related to the onboarding and/or separation of staff augmentation personnel, including drafting and issuing offer and termination letters for authorized signature.
  • Assists in coordinating evaluations and supports the administrative processes (onboarding checklists, security access requests, helpdesk tickets, scheduling meetings, documenting meeting discussion, software/hardware accessories, etc.) associated with hiring and releasing staff-augmented personnel.
  • Review, verify, and receipt in vendor invoices for accuracy and compliance with policies and procedures.
  • Inform the appropriate contract manager as indicated on MFMP that all documentation is complete and ready for contract manager certification.
  • Ensure timely payment of invoices by matching purchase orders, obtaining necessary approvals, and entering data into MFMP.
  • Reconcile invoice payments between MFMP and FDC Bar system.
  • Communicate with contract managers and/or internal departments to resolve discrepancies or payment issues.
  • Maintain accurate records of all transactions for auditing and reporting purposes.
  • Maintains and reconciles contract and staff augmentation files to ensure compliance with established administrative procedures, including correct file organization, naming conventions, and inclusion of required documentation.
  • Assists in routine file audits and supports records management activities.
  • Participates in regular meetings with management, technical and/or program personnel as required/requested.
  • Handles duties and responsibilities expeditiously, proactively, and follows-through on action items, tasks, and projects on time to successful completion.
  • On occasion these duties and responsibilities may occur before or after standard business hours.
  • Adheres to FDC policies and procedures in the workplace and performs required training.
