About The Position

The Division of Professions is responsible for the licensing of over 503,000 professionals. These professions include architects and interior designers, asbestos consultants, athlete agents, auctioneers, barbers, building code administrators and inspectors, community association managers, construction contractors, cosmetology, electrical contractors, employee leasing companies, geologists, home inspectors, landscape architects, mold assessors and remediators, pilot commissioners and veterinarians. Housed within the division is the Bureau of Education and Testing and the Florida Building Commission. This position serves as the assistant to the Executive Director, professional boards of Geologist, Home Inspectors, Mold, Athlete Agents, Employee Leasing and Talent Agencies, and provides administrative support to the Executive Director and others as requested.

Requirements

  • Must have a high school diploma or equivalent education.
  • At least two years’ administrative or clerical experience
  • Ability to prioritize and organize multiple tasks.
  • Ability to communicate effectively, both oral and written.
  • Knowledge of board functions and licensure procedures.
  • Ability to work independently on recommendations and improvements to program.
  • Ability to understand and apply the Florida Statutes and Florida Administrative Code pertaining to the board.
  • Knowledge of Versa:Regulation and OnBase.

Responsibilities

  • Prepares agendas for Board meetings, prepares, and sends notices to applicants and licensees on agenda, attends all board meetings, prepares minutes of every meeting, files orders resulting from meetings.
  • Responds to email and telephone inquiries from licensees, applicants, Department staff and the public. Responds to CCC Escalations.
  • Prepares and approves annual assessments and reviews quarterly reports for ELCs.
  • Coordinates with contracted CPA to review year-end financial reports and additional financial reporting issues for ELCs.
  • Prepare complaints for ELCs not in compliance with Florida Statutes and Florida Administrative Code regarding quarterly and year-end financial statements and assessments.
  • Responsible for noticing upcoming board meetings, conference calls, probable cause panels and workshops for timely notification within the Florida Administrative Register.
  • Coordinates with schools, associations, other states and other agencies on policies and procedures. Research laws and procedures and make recommendations to the Executive Director and board for changes to licensing procedures and requirements. Participates in meetings with these groups to ensure licensing functions are complied with. Works with other states in developing procedures for standardizing and easing licensure requirements from state to state.
  • Ensure that all deadlines for boards are met according to statutory requirements.
  • Responsible for updating laws and rules and FAQ’s pertaining to board.
  • Acts as a liaison for board members and consultants.
  • Assigns compliance cash, monitors probation and regulation requirements set forth in final orders for licensed and unlicensed cases.
  • Performs other related duties as assigned.
