About The Position

We are seeking a highly organized and proactive Global Talent & HR Coordinator to join our growing team. This hybrid role blends talent acquisition with HR operations and administrative tasks, ensuring a seamless employee experience from onboarding to offboarding while supporting our recruitment needs. You’ll serve as a key point of contact for candidates, new hires, and employees, helping to deliver a thoughtful, efficient, and scalable people experience, reporting into the Global HR Director. The primary focus of this role will be driving and optimizing our recruitment processes as we scale globally, while also supporting core HR operations and administrative tasks that enable our teams to thrive. This role is best suited for someone who is intrinsically motivated, takes ownership of their work, and is driven to continuously improve processes and outcomes without the need for constant direction. This role will be working from our Vancouver office in Mount Pleasant, while having flexibility to work remotely up to 2 days per week.

Requirements

  • 2+ yrs Talent Acquisition Expertise and HR Operations: Skilled at supporting full-cycle recruitment, from sourcing and screening to interview coordination and offer management
  • Process-Oriented: Thrives in managing and improving hiring workflows, ensuring smooth, efficient, and compliant recruitment and onboarding processes.
  • Experience supporting full cycle recruitment process, from posting to hiring
  • Demonstrates the ability to identify, attract, and engage high-caliber candidates that align with organizational culture and needs
  • Experience with ATS, HRIS and other tech systems. (BambooHR experience is a plus!)
  • Strong organizational skills in HRIS management, payroll integration (supporting), benefits administration, and contract management
  • Excellent written and verbal communication skills; able to work effectively with multiple stakeholders across the business
  • Proactive & Solution-Oriented: Anticipates needs, resolves challenges quickly, and drives improvements in recruitment and HR processes
  • Strong organizational skills and attention to detail
  • Ability to work independently and prioritize multiple responsibilities in a fast-paced environment

Nice To Haves

  • Knowledge of statutory compliance, contract management and policies within different global locations (USA/CAN/AUS/UK) considered an asset
  • Working towards certifications CPHR or other HR Management credentials considered an asset
  • Previous experience working with start-ups and/or scaling businesses considered an asset

Responsibilities

  • Own and manage full-cycle recruitment across multiple functions and regions, including role scoping, sourcing, screening, interviewing, and offer coordination.
  • Partner closely with hiring managers to understand role requirements, define candidate profiles, and develop effective sourcing strategies aligned with business needs.
  • Proactively source candidates through a variety of channels (LinkedIn, job boards, referrals, and direct outreach), building strong and diverse talent pipelines.
  • Coordinate and schedule interviews across time zones, ensuring a smooth and timely process for both candidates and internal stakeholders.
  • Act as the primary point of contact for candidates, providing clear communication, updates, and a high-quality candidate experience from initial outreach through to offer stage.
  • Manage and maintain the applicant tracking system (ATS), ensuring data accuracy, timely updates, and consistent documentation of candidate progress.
  • Track and report on key recruitment metrics (time-to-fill, pipeline health, source effectiveness), providing insights and recommendations for continuous improvement.
  • Support offer preparation, compensation coordination, and closing processes in partnership with hiring managers and leadership.
  • Collaborate with external recruitment agencies and partners when needed, including briefing roles.
  • Collaborate with HR Director to continuously identify opportunities to improve recruitment processes, tools, and employer branding initiatives to attract top talent globally.
  • Support day-to-day HR operations and administrative tasks across the employee lifecycle, including onboarding, employee changes, and offboarding processes.
  • Coordinate and administer onboarding for new hires globally, including employment agreements, documentation, and orientation sessions.
  • Maintain accurate and up-to-date employee records within the HRIS, ensuring data integrity, confidentiality, and compliance with local regulations.
  • Assist with payroll coordination and benefits administration, including enrollments, updates, and employee inquiries.
  • Partner with IT, facilities, and other internal teams to ensure seamless onboarding logistics (equipment setup, system access, workspace readiness).
  • Prepare and manage employment-related documentation, including contracts, amendments, and compliance records across multiple jurisdictions.
  • Support HR reporting and analytics, pulling data and generating insights related to headcount, turnover, hiring trends, and other key metrics.
  • Assist in the implementation and communication of HR policies, programs, and initiatives, ensuring consistency and alignment across regions.
  • Support offboarding processes, including exit interviews, documentation, and coordination of final steps to ensure a smooth transition.
  • Keep our internal systems up to date with real time information and changes through process communication and documentation (Notion, BambooHR, Google Drive)
