About The Position

This position collaborates with various U.S. and overseas HR/Payroll departments, third-party case managers, and tax firms. The ideal candidate must work efficiently both as a team member and independently, managing multiple priorities simultaneously. All tasks must be handled with strict confidentiality and timeliness while adhering to applicable laws, policies, and regulations. The role demands strong customer service skills—actively listening to employees, understanding their perspectives, and respecting their privacy. Above all, this position takes ownership of issues and sees them through to completion. The role can be high-pressure and demanding during certain periods of the year.

Requirements

  • Bachelor's degree
  • Five or more years of experience in payroll related activities

Responsibilities

  • Serve as the Global Payroll employee point of contact for all U.S. employees impacted by the Cross Border Commuting Policy and the Global Assignment Policy for short-term or long-term assignments.
  • Act as the Global Payroll Business Partner point of contact, working with tax firms, RBC Cross-Border Advisor, and RBC Global Assignment Advisor as needed to review and take proper action to resolve any issues related to W2, 1042-S, and/or Tax Equalization payments.
  • Maintain databases listing employees subject to the Cross-Border Commuting and Global Assignments.
  • Process incoming invoices and outgoing wires to reimburse home/host countries monthly and quarterly for expatriate (CPP, NIC related) taxes from Canada and United Kingdom HR/Payroll.
  • Provide income and tax breakdowns to tax firms annually with W2 and 1042S.
  • Request and/or update Certificate of Coverage for US expatriates and provide copies to Weichert and overseas HR/Payroll, as needed. Ensure Inpat COC’s are on file.
  • Ensure non-resident alien employees are FICA exempt on an as-needed basis, based on CoC and/or F1/J1 VISA status for the appropriate time period, including Summer Interns.
  • Collect benefit salary information from overseas HR/Payroll for permanent transfers into the U.S., obtain exchange rates and calculate data before providing to HRSC.
  • Ensure accurate payroll processing for Cross-Border Commuting and Global Assignments Balance Sheet Assignees.
  • Update W2/W2C with income and taxes based on direction from tax firm as needed via the Payroll System.
  • Reconcile tax benefit liability account monthly and make adjustments via payroll system and/or journal entry to clear balances based on reimbursement or write-offs.
  • Invoice payroll costs for expatriate employees, including verification, funding, and GL journal entries.
  • Process all relocation-related payments (via payroll and/or A/P) and perform manual gross-up calculations, as needed.
  • Perform year-end relocation tax true-ups/downs.
  • Act as backup for auditing net payments greater than expected and salary increases greater than 10%.
  • Act as backup for 401(K) reconciliation and payment on the monthly and semi-monthly payroll cycles.
  • Act as backup for making withholding tax deposits.
  • Act as backup on health and welfare invoices and premiums.
  • Provide earnings and tax withholding gross-ups to internal and external business partners monthly for Cross-Border Commuting and Global Assignees.
  • Perform quarterly relocation expense reconciliation with Weichert.
  • Provide 3rd party case managers and tax firms with salary and benefit deductions for balance sheet assignees annually.
