About The Position

WaterAid America is seeking a temporary Gift Coordinator to support the smooth day-to-day administration of WaterAid’s development operations. This role is crucial for processing and reconciling donations, responding to public inquiries, and assisting with general administration. The ideal candidate will be proficient in Salesforce and Excel, possess a strong customer service orientation, and be available to start immediately. This is a part-time, temporary position requiring approximately 10-15 hours per week for 8-10 weeks, with core business hours aligning with WaterAid’s 9 am – 5 pm Eastern time.

Requirements

  • 1+ years’ relevant work experience (e.g., data entry/management, customer service, finance support role).
  • Proficiency in Salesforce CRM (WaterAid uses Nonprofit Cloud and Apsona), including formatting and importing data, thorough work checking, and error identification.
  • Proficiency in MS Teams, particularly in SharePoint and Excel, including manipulating data sets and using functions like mail merge, vlookup, concatenate, conditional formatting, auto-sum, table formats, pivot tables.
  • Ability to serve as WaterAid’s first point of contact for general and donation inquiries (phone, mail, email), handling mission-related questions to troubleshooting the donation process, and routing calls and leads to relevant staff.

  • Proven track record of delivering tasks and meeting deadlines; comfortable escalating concerns and asking questions.

Responsibilities

  • Complete daily gift entry accurately and consistently into WaterAid’s Salesforce CRM, including inputting/importing gift transactions, completing matching gift requests, identifying and merging duplicate records, and updating constituent contact details.
  • Generate weekly reports, such as the “sweep” report, to prepare acknowledgments.
  • Reconcile deposits with the Finance team each week, ensuring gifts are correctly coded and back-up documentation is recorded to WaterAid’s SharePoint.
  • Respond to supporter emails and voicemails, record engagement in Salesforce, capture new and updated contact details, flag and/or deliver follow-up as needed, alert relationship managers where needed, and support relationship managers with day-to-day questions and updates in the CRM.
  • Update online giving platforms as needed, ensure verbiage is up to date, and respond to platforms’ compliance requests.
