About The Position

The National Radio Astronomy Observatory (NRAO), managed by Associated Universities, Inc. (AUI), is a leading research organization in the study of the universe, operating state-of-the-art radio telescope facilities. The Observatory is seeking a General Office Assistant/Receptionist for its Domenici Science Operations Center in Socorro, New Mexico. This position is crucial for creating a positive first impression, managing visitor access, and performing various administrative and clerical duties with a high level of professionalism, often handling confidential information.

Requirements

  • Minimum of High school diploma or GED
  • Excellent verbal and written communication skills
  • Excellent customer service skills
  • Comfortable interacting with the general public, groups, and individuals of all professional levels
  • Ability to maintain accurate records
  • Knowledge of standard office practices, procedures, various office equipment, and administrative techniques
  • Thorough knowledge of business English, spelling, and arithmetic
  • Proficiency in Microsoft Office Suite
  • Knowledge of personal computers, including word processing and spreadsheet software
  • Ability to establish and maintain effective working relationships with other employees and the public
  • Ability to understand and follow oral and written instruction
  • Ability to organize and perform work independently
  • Authorized to work in the United States
  • Observatory presently cannot sponsor H-1B Visas for this position

Responsibilities

  • Greeting and monitoring visitor access
  • Maintaining office security by following safety procedures and controlling building access
  • Preparing visitor packets, issuing room keys, and collecting payment from visitors
  • Answering, handling, and directing incoming calls
  • Responding to visitor inquiries
  • Serving as primary administrator for the Meeting Planner system, assisting with scheduling meetings and conferences
  • Overseeing NRAO Guest House reservations, collecting payment, and updating occupant information
  • Preparing Pay Order and Petty Cash
  • Assisting with staff vehicle registration log and issuing company vehicle keys
  • Coordinating facility use for non-NRAO organizations and assisting with meeting set-up and break-down
  • Preparation of correspondence, reports, and updating phone lists and directories
  • Maintenance of staff picture display and office supply cabinets
  • Managing the petty cash fund, preparing and issuing receipts, bills, invoices, statements, and checks
  • Assisting with various clerical duties such as typing, filing, and photocopying
  • Routing and distributing incoming mail; preparing outgoing mail
  • Maintaining staff mailboxes
  • Updating video displays in the lobby
  • Pro-active compliance with NRAO and government safety policies and procedures
  • Other duties as assigned
