About The Position

Related Companies is a prominent privately owned real estate firm with over 50 years of experience in development, acquisitions, management, finance, marketing, and sales. They are seeking a highly skilled and experienced General Manager for The Laurel, a luxury rental property in West Palm Beach, FL. The General Manager will be responsible for the overall day-to-day operations of the property, including supervising office and maintenance functions, ensuring compliance with company policies and all applicable laws and statutes. The role involves managing financial aspects, supervising staff, ensuring compliance with brand standards and legal regulations, and undertaking special projects.

Requirements

  • Five years of property management experience related to Class A property.
  • Minimum of five (5) years’ experience managing a team of people.
  • Strong leadership, organizational and administrative skills.
  • Ability to manage a property as demonstrated by work experience including financial performance, customer service, communications, marketing, negotiation, crisis management, and staffing.
  • Ability to analyze data/reports to develop solutions to sustain high standards of customer service, optimal revenue generation and effective expense management as demonstrated by business results in previous position.
  • Experience in budget preparation and financial reporting, with a strong understanding of building operational systems, leasing and marketing, documentation and administration.
  • Ability to successfully resolve resident issues as demonstrated by work experience.
  • Ability to negotiate and manage contracts with 3rd party service providers as demonstrated by previous work experience.
  • Ability to supervise and develop employees and provide feedback and coaching to subordinates resulting in improved performance as demonstrated by experience in previous position.
  • Ability to speak, read and write English as demonstrated by clear and concise written and verbal communications. Demonstrated ability to write reports in a clear, concise form. Ability to communicate at all levels.
  • Ability to perform basic arithmetic skills such as measurement, addition, subtraction, multiplication and division in order to do basic calculations and analysis such as estimating, determining averages and percentages, and totals.
  • Ability to perform basic Microsoft Office applications such as Word and Excel.
  • Must possess a 4-year college degree from an accredited institution.

Nice To Haves

  • Five (5) years of knowledge of property management compliance practice and procedures related to Class A and Affordable property preferred.
  • Experience in affordable housing processing or demonstrate transferable skills.
  • Demonstrate ability to learn and apply recertification policies, procedures and principles.

Responsibilities

  • Manage financial aspects of operations for the assigned property (or properties) that contribute to the company’s business goals, including preparation of property budgets, monthly asset reports, monthly financial change forms, and capital expenditure tracking.
  • Supervises all leasing, administrative, and maintenance functions.
  • Hires, trains and evaluates leasing/office/maintenance staff, in conjunction with Resident Manager.
  • Supervises specific site program administration and ensures that sites are in compliance with brand standards including property presentation, marketing, apparel, etc.
  • Ensure compliance with all federal, state and local laws, specifically, Fair Housing regulations at site level.
  • Special projects as assigned.
  • Manage accounts receivable and accounts payable, including rent collection, reporting deadlines, bad-debt write offs, invoice credit memos, and expense approvals.
  • Oversee review of the Payment Processing Dashboard in Yardi and ProfitStars for NSFs, failed payments, and other returned items.
  • Oversee audits of security deposits and analysis of Yardi security deposits against bank liability reports.
  • Approve Final Billing Checklists and review/reconcile resident-associated bank rec and cash transactions.
  • Coordinate with the Resident Manager to oversee apartment turnovers.
  • Ensure understanding and adherence to all EEO and Affirmative Action updates, including Fair Housing/Equal Housing, Section 504 Self Evaluation of the Rehabilitating Act of 1973 and the Americans with Disabilities Act.
  • Prepare annual operating budgets and ensure adherence to budgetary guidelines.
  • Initiate and implement policies, procedures, forms, schedules and/or controls with the approval of the Regional Manager.
  • Supervise building security measures, incident documentations and proper notifications.
  • Assist Regional Manager with comparable site analysis and shopping of competition.
  • Work closely with Vice President for Revenue Management to set price points, review target markets and initiate advertising or 'specials'.
  • Ensure adequate coverage for the leasing office and maintenance at all times, which may include extended hours or weekend work.
  • Ensure all site staff employees have access to necessary computer software and hardware.
  • Supervise the performance of all office staff and Resident Manager.
  • Approve all time sheets including O/T and temporary labor.
  • Document issues for performance evaluations and keep the Regional Manager apprised.
  • Draft disciplinary and/or probationary letters and provide backup for the Regional Manager.
  • Conduct monthly comprehensive inspections and submit inspection forms.
  • Complete monthly budget variance reports and asset reports.
  • Maintain a continuous list of project needs and concerns.
  • Ensure timely compliance with all responses to audits.
  • Supervise/ensure adherence to site regulatory agreements.
  • Lead weekly triad meetings and submit minutes.
  • Approve payroll for Resident Manager, Assistant General Manager, and Leasing.
  • Responsible for building’s resident retention and acquisition efforts.
  • Initiate introduction with new residents within 72 hours after move-in.
  • Oversee Assistant General Manager’s responsibility to handle all resident complaints.
  • Confirm residents are fully and properly notified of all issues affecting their residency.
  • Enforce lease terms, House Rules and Regulations, and Pet Agreements, documenting significant violations.
  • Oversee Assistant General Manager and Resident Manager in ensuring proper service to residents by reviewing service request logs and following up on completed requests.
  • Oversee proper preventive maintenance schedules and ensure adherence.
  • Ensure compliance with contracts regarding work performed by third-party contractors and establish RFPs for major capital projects.
  • Confirm appropriate market rate standards of curb appeals at all times.
  • Address anomalies that can be addressed on the spot.
  • Create remedial strategies for anomalies that cannot be addressed on the spot.
  • Monitor building for pristine cleanliness.
  • Anticipate and neutralize likely resistance points in the organization.
  • Establish metrics capturing early adoption and effective demonstration of new initiatives.
  • Monitor and support the outcomes of all training programs.
  • Maintain open communication with appropriate leaders and stakeholders.
  • Develop yearly action plans to improve Associate Engagement scores.
  • Request training as opportunities arise.
  • Facilitate CX Board Meetings and Huddles.
  • Perform special projects as assigned by the Regional Manager.
