About The Position

ATA Services is seeking to hire General Clerks for a temporary assignment with the State of NM - Early Childhood Education and Care Department. The objective of this role is to reduce childcare assistance application processing time by screening applications for completeness, performing follow-up activities with clients, and ensuring accuracy of payments. Temporary staff will be expected to clear backlogs within two months and thereafter manage daily application reviews, payment reconciliations, and recertification processes. This role involves working with the State of New Mexico Human Services Department integrated eligibility system (ASPEN) and Department of Workforce Solutions systems, reviewing client paperwork, interviewing clients, determining eligibility, creating placement agreements, and sending correspondence. Minor duties include using reports to identify application processing issues and supporting regional staff.

Requirements

  • 2+ years' experience working as an Administrative Assistant or Office Clerk
  • High School degree
  • Must be able to pass a background check
  • Significant experience with office management and daily operations
  • Ability to maintain confidentiality
  • Good practical experience with MS Office
  • Excellent knowledge of office equipment
  • Strong verbal skills
  • Strong organizational and time-management skills

Responsibilities

  • Screen childcare assistance applications and identify over-payments.
  • Place phone calls to clients with missing documents or signatures.
  • Close out cases for clients that have not been recertified.
  • Assist in reviewing worker caseloads.
  • Ensure all files are present and reproduce non-existent files as needed.
  • Assist with the distribution process for one-time payments and identify overpayments.
  • Collect documentation and research payment issues to childcare providers.
  • Send out form closure letters to parents and childcare providers.
  • Work with the State of New Mexico Human Services Department integrated eligibility system (ASPEN) and Department of Workforce Solutions systems.
  • Place phone calls about recertification, send out recertification letters, review application status reports, and provide status updates.
  • Review paperwork submitted by clients for accuracy.
  • Interview clients to assess the need for care.
  • Determine eligibility and create placement agreements for childcare assistance programs using the internal database.
  • Send correspondence to clients and providers.
  • Implement and follow Federal and State policies regarding the program.
  • Use reports to search for issues with application processing.
  • Support other local regional staff as required.
