About The Position

Performs a variety of lead administrative and office duties in support of a department or function within the organization, and may lead other Office Assistants. This is a seasonal temporary position not to exceed 122 days.

Requirements

  • Must be at least 18 years of age.
  • Previous clerical and/or administrative office experience required.
  • Good computer skills and demonstrated ability to use Microsoft Word, Outlook, and Excel necessary.
  • Must be able to type at least 35 words per minute.
  • Ability to successfully handle and prioritize multiple tasks required.
  • Excellent customer service skills and the ability to work well with others a must.
  • Excellent teamwork skills required

  • Bilingual (English/Spanish) skills
  • Ability to work outside the normal business day/week as demanded by events and programs.

Responsibilities

  • Assists the department Supervisor in coordinating department functions, programs and special projects with other departments within the organization.
  • Serves as the department’s liaison with Human Resources to coordinate and process employee hiring documentation and termination forms.
  • Coordinates employee work schedules as directed by the Supervisor and handles scheduling changes to ensure full coverage.
  • Answers, responds to or forwards telephone calls; handles escalated calls in the absence of the Supervisor.
  • Assists walk-in traffic to the office, including department employees, other organizational employees, business partners, guests and or patrons.
  • Dispatches other department employees in response to inquiries and requests from other departments or the public and follows up through resolution.
  • Performs computer data input and generates reports as requested.
  • Tracks attendance of department employees and serves as the department timekeeper.
  • Leads the work of other Office Assistants and provides training to other office personnel.
  • Files and shreds documents as requested.
  • May schedule meetings and coordinate the department calendar.
  • Will be required to perform other duties as directed, requested or assigned.
