About The Position

Keys to Change is seeking a Fundraising Database Specialist to manage the day-to-day operations of the organization's donor database. This role is crucial for ensuring the accuracy and integrity of fundraising data, processing gifts, maintaining donor records, and providing reliable information for fundraising, stewardship, and reporting. The specialist will work closely with the Development Manager and the development team to support donor communications, events, and campaigns. The ideal candidate will be highly organized, detail-oriented, calm under pressure, and capable of balancing routine tasks with analytical and collaborative work. Responsibilities also include assisting with in-kind donation resource development, events like Project Connect, donor stewardship, requesting in-kind donations, and general development operations.

Requirements

  • Bachelor’s degree from an accredited college or university, or equivalent combination of education and relevant professional experience.
  • 1-3 years of experience in nonprofit development operations, fundraising administration, or donor database management.
  • Demonstrated experience managing a fundraising or CRM database, including gift processing, data integrity, and reporting.
  • Experience with Virtuous CRM (Certification required within 90 days of hire).
  • High proficiency with Microsoft Office (Excel, Word, Outlook); comfort working with spreadsheets, reports, and data exports.
  • Exceptional attention to detail, strong organizational skills, and ability to manage multiple priorities and deadlines.
  • Proven ability to work independently while collaborating closely with a small, mission-driven team.
  • Superior written and verbal communication skills (Spanish a plus).
  • Demonstrated ability to communicate effectively and professionally with staff, clients, and external contacts.
  • Visual acuity sufficient to maintain system of records and reports containing computer-generated and handwritten documents.
  • Ability to handle sensitive material, maintaining the highest level of confidentiality and displaying sound judgment.
  • Mobility sufficient to conduct regular duties within a normal office environment.
  • Ability to lift at least 25 pounds in order to safely manage donations, office supplies, and equipment.
  • Ability to use stairs and work outside in extreme weather.

Responsibilities

  • Manage CRM donor database, including tracking cash (and equivalent) donations, ensuring proper receipting and mail acknowledgements.
  • Manage data migrations and infrastructure, including inputting donor-related data and maintaining data health through reconciliation.
  • Digitize and organize donor documentation to ensure records are complete and easily accessible.
  • Process and track donations from multiple sources (online, mail, events, workplace giving, matching gifts), ensuring timely and accurate acknowledgment.
  • Communicate with donors to facilitate taking gifts over the phone, in person, and at special events.
  • Monitor workplace giving to ensure donors receive proper credit and verify donations for matching gifts.
  • Send acknowledgment cards for all in memory or in honor of donations.
  • Facilitate donor communications as directed by the Development Manager.
  • Generate donor reports, including donor trends and reconciliation reports with the finance department.
  • Assist with setup, breakdown, and execution of volunteer and fundraising events (e.g., Annual I Am Home Breakfast, Project Connect, corporate volunteer events).
  • Oversee volunteers at events as directed by the event lead.
  • Seek and develop new in-kind donor relationships and maintain relationships with existing in-kind donors.
  • Attend weekly team meetings and other assigned trainings.
  • Perform other duties as assigned.
