About The Position

The Fund Administration Coordinator is part of the Fund Administration team at the University of Montana Foundation. This position will support the Assistant Director of Fund Administration and act as a liaison to campus partners relating to fund maintenance and compliance. This position ensures that fund documentation and information is routed, tracked, stored, and distributed as needed. In addition, the coordinator must foster and sustain positive relationships with colleagues in the UM Foundation and at the University of Montana to facilitate communications regarding the activities of Fund Administration.

Requirements

  • Associate’s degree or equivalent
  • Experience in database management, donor relations, fund administration or related areas
  • Extensive experience with current Microsoft Office software applications and a database application

Nice To Haves

  • Familiarity with CRM software is beneficial
  • Strong technical skills, including knowledge of data base systems and in Microsoft Office
  • Excellent communication and interpersonal abilities, with the capacity to build effective relationships, collaborate well, and engage confidently with others
  • Proven organizational strengths, including meeting deadlines, prioritizing tasks and managing multiple projects in a fast-paced environment
  • Demonstrated customer service skills, delivering high quality support with accuracy, attention to detail and professionalism
  • High level of maturity, integrity, and discretion when handling confidential information, paired with flexibility, tact and approachability

Responsibilities

  • Be able to handle various tasks of varying degrees of priorities simultaneously
  • Maintain, organize, and update data and documents across platforms to support efficient fund and scholarship operations.
  • Draft routine gift and pledge agreements and assist with creating, modifying, or closing funds.
  • Support fund administration by routing, tracking, storing, and distributing documents and information accurately.
  • Assist and support scholarship administration tasks, including maintaining scholarship administrator contacts and assisting with related operational needs.
