About The Position

We are seeking an experienced Full-Charge Bookkeeper to manage the accounting and administrative tasks for several family-owned real estate and investment entities. This role involves traditional bookkeeping duties alongside light family office functions such as bill payment, financial reporting, rental property accounting, cash management, payroll coordination, and vendor management. The ideal candidate will be highly organized, trustworthy, detail-oriented, and capable of working independently across multiple entities.

Requirements

  • 5+ years bookkeeping/accounting experience
  • QuickBooks Online proficiency
  • Strong Excel skills
  • Experience with multi-entity accounting
  • High level of discretion and confidentiality
  • Strong organizational skills

Responsibilities

  • Maintain QuickBooks for all entities
  • Record and reconcile transactions
  • Perform monthly bank and credit card reconciliations
  • Process journal entries
  • Prepare financial statements
  • Manage the monthly close process
  • Process accounts payable, including receiving and processing invoices, managing approval workflows, and scheduling payments
  • Track recurring obligations and maintain vendor records
  • Generate accounts receivable invoices
  • Monitor collections and follow up on past-due accounts
  • Track deposits
  • Coordinate payroll processing
  • Manage union reporting requirements
  • Provide certified payroll support when required
  • Process employee onboarding paperwork
  • Prepare annual 1099s
  • Handle tenant billing and lease administration
  • Track CAM and expenses
  • Prepare rental property reports
  • Monitor property taxes
  • Track insurance
  • Manage personal bill pay
  • Handle insurance renewals
  • Track vehicle registration
  • Administer property taxes
  • Manage document management
  • Support annual CPA activities
  • Prepare monthly financial reporting packages, including Balance Sheet, Income Statement, Cash Flow Summary, entity-level reports, budget vs. actual analysis, and cash position summaries
