About The Position

To supervise front desk staff to ensure that they are adhering to all hotel policies, procedures, regulations and standards, while striving towards total guest satisfaction. To ensure that front desk operations is working in a professional manner at all times. Will perform front desk clerk and cashier responsibilities and duties when assigned, and assume desk manager’s when needed. Train front desk on a daily basis, on-the-job and during 15 training. Assist the front office manager in all areas to ensure a correct and smoothly-operating department.

Requirements

  • Supervise front desk staff to ensure adherence to all hotel policies, procedures, regulations, and standards.
  • Ensure front desk operations run professionally at all times.
  • Perform front desk clerk and cashier responsibilities when assigned.
  • Assume desk manager responsibilities when needed.
  • Train front desk staff daily, on-the-job and during 15-minute training sessions.
  • Assist the front office manager in all areas to ensure a correct and smoothly-operating department.
  • Ensure smooth check-in and check-out of all guests by properly handling guest accounts.
  • Deal with guest requests and problems, satisfying their needs within acceptable guidelines.
  • Be prepared to perform all front desk functions, including switchboard, business center, and guest relations.
  • Lead by example with gracious and aggressive hospitality towards all customers.
  • Be familiar with and adhere to all policies, procedures, and standards.
  • Assist associates with questions and problems.
  • Be present at the front desk during peak hours to ensure efficient and smooth service.
  • Create a productive and positive atmosphere at the desk.
  • Foster good relationships with all associates and other departments.
  • Be empowered and empower associates to provide outstanding service.

  • Ensure work area is always clean, neat, and organized.
  • Plan and conduct monthly meetings with GM, FOM, and other department heads for feedback on the Front Desk.
  • Constantly audit all desk work for accuracy and consistency.
  • Coach and counsel staff when appropriate.
  • Ensure all supplies are well maintained.
  • Be prepared to cover all shifts when necessary.
  • Review discrepant rooms regularly.
  • Keep a Voice Mail Log.
  • Identify and recognize all Guests, VIP Guests, and repeat guests; pre-block rooms and ensure special treatment during check-in/out experiences.
  • Double-check printed reports for accuracy and follow through (e.g., Credit Card reports, cash deposits).
  • Complete assigned work or special projects and meet due dates.
  • Work with staff on the same level, train, and retrain on aggressive hospitality skills, technical skills, and communication skills.
  • Know how to hire, train, and develop staff along with the upper management team.
  • Have knowledge about sales strategy, packages, promotions, and discounts, and how they relate to other departments.
  • Report any sales leads to the sales department.
  • Develop knowledge about frequent guests and their special requests and needs.
  • Develop a thorough knowledge of hotel products, including rooms, amenities, and services.
  • Work according to budget; monitor staffing levels and control costs.
  • Be knowledgeable about etiquette and protocols.
  • Be familiar with all emergency plans and able to act upon them.
  • Report any unusual occurrences immediately to the front desk manager/general manager.
  • Strive to represent the brand and Jiten Hotel Management professionally and courteously at all times.
  • Perform other duties as assigned that the associate is capable of performing.

Responsibilities
