About The Position

The Front Office Assistant performs a variety of clerical duties and front office operations in support of patient care activities, ensuring even patient flow and continuous communication within the department, referring physician offices, and organization staff. This role involves interacting courteously with patients, their family members or surrogate decision makers, and the public according to established standards. Responsibilities include greeting visitors, answering telephones, and potentially collecting copays, closing the cash drawer, and preparing month-end deposits. The assistant will collect initial demographic and clinical patient information, accurately entering it into the medical record, and compiling/preparing charts. A key function is assisting with the coordination and execution of patient scheduling, including confirmations, cancellations, and rescheduling, followed by prompt communication of any schedule changes to all appropriate locations and individuals, including clinical staff/supervisors. The role requires maintaining accurate information and utilizing various software for scheduling, entering charges, finding and scanning documents, and accurately entering patient information. Ensuring the patient chart has all required paperwork prior to the patient’s procedure is essential. As directed by medical staff orders, the assistant may schedule patient tests to be performed during a patient's stay. The position may require working in various departments as needed and assisting clinical staff with patients and family members. Maintaining patient confidentiality is paramount. The role also involves participating in the continuous quality improvement process and performing other duties as assigned.
