About The Position

This role efficiently manages high-volume appointment scheduling to ensure maximum productivity and minimal gaps to increase access to available patient care. This position provides multi-clinical site support and ensures compliance with initial patient registration and front office operations while maintaining a high quality of customer service throughout all interactions.

Responsibilities

  • Verifies patient identification per hospital policy.
  • Interviews patients for visits with rehab specialties (PT/OT/SLP/AT)
  • Obtain complete accurate demographic and financial data.
  • Identify and enter correct guarantor for minors, client guarantors, and legal guardians.
  • Accurately identify and enter patient information into the Health Information System.
  • Responds appropriately if no payor information is available for the patient or if patient is self-pay.
  • Verifies and updates demographic information.
  • Scans ID and Insurance Cards into hospital system.
  • Explains and obtains compliant signatures on registration forms.
  • Continuously manage & monitor clinician schedules to optimize productivity and fill‑rate efficiency by minimizing gaps.
  • Support multi‑site scheduling and clinician utilization, including remote coverage as needed.
  • Manages walk-in referrals and accurately performs pre-registration.
  • Coordinates with provider offices on medical necessity and referral corrections.
  • Schedules PT, OT, SLP and AT initial evaluations based on knowledge of clinical skill type, diagnosis, urgency/complexity and provider specialty.
  • Schedules follow-up appointments in alignment with patient and departmental needs.
  • Direct patients appropriately based on patient care needs.
  • Perform general office tasks including answering phones, faxing, scanning, filing, and correspondence.
  • Anticipates and provides support to all clinical staff.
  • Multi-tasks between scheduling, registration, reception and other office duties.
  • Educates patients on financial responsibility for services rendered.
  • Uses critical thinking to ensure the hospital gets proper reimbursement for rehabilitation procedures.
  • Understands importance to complete processes as educated and maintain payor requirements for reimbursement of services.
  • Identifies office supplies and forms that need to be ordered and maintained for current organizational compliance.
  • Coordinates and maintains accurate daily, weekly, and monthly schedule models to support operational efficiency.
  • Run, review, and interpret operational reports regarding system access, patient attendance compliance, and accurate visit charges.
  • Follow up with clinicians and leadership team on action items from reports.
  • Actively looks for ways to gain efficiencies, opportunities to enhance compliance, improve processes, and share education
  • Actively participates and helps facilitate department meetings.
  • Participates in and leads educational opportunities.
  • Participates in special projects and demonstrates a willingness to do research.
