About The Position

This role is for a Front Desk Supervisor at a luxury property, focusing on administrative tasks and customer service. The supervisor will manage front desk operations, ensure smooth communication, maintain resident and guest information, and handle various administrative duties to support the property and its residents.

Requirements

  • High school diploma or GED required.
  • 1-3 years of directly related clerical or administrative support experience required.
  • Must be able to use MS Office 2007 or later, particularly Excel and Word.
  • Must be able to adapt to management software and computer programs utilized by the company.
  • Ability to interpret and follow verbal and written instructions.
  • Ability to communicate effectively, both verbally and in writing and exercise diplomacy.
  • Knowledge of business correspondence including rules of grammar, sentence structure, punctuation, and spelling.
  • Interpersonal skills necessary to effectively interface with all levels of personnel and work in a team environment.
  • Demonstrated ability to maintain confidentiality of records and to use discretion in the performance of daily activities.
  • Must be able to perform diversified but semi-repetitive operations following standardized methods and procedures under changing conditions.

Nice To Haves

  • Bachelors or Associates degree preferred.
  • HOA, property management or condominium management related experience is a plus.

Responsibilities

  • Demonstrate excellent customer service, communication, and time management skills.
  • Ensure proper telephone answering and courteous, accurate, and timely message handling.
  • Maintain and update resident information in the computer database weekly.
  • Manage the supply closet, request office supplies and equipment following purchasing procedures.
  • Create files, compile, and coordinate information for new owners/leases.
  • Coordinate receipt of closing statements or warranty deeds, update corporate A/R for maintenance coupons.
  • Archive expired tenant, guest, and employee information.
  • Provide information by answering questions and requests for residents and guests.
  • Update staff information in the system.
  • Scan and upload all guest requests into the system.
  • File guest requests, vehicle requests, and staff requests into the system.
  • Register vehicles, bicycles, and scooters for residents.
  • Update vehicle decals and transponders as needed.
  • Communicate with Security, valet, and manager on duty regarding vehicle arrivals or third-party pickups.
  • Work with security to ensure transponders are functional, and address issues with residents.
  • Register guests for residents and ensure accurate system input.
  • Keep the front gate list updated with incoming guests.
  • Follow up with residents to ensure prompt processing of requests.
  • Resolve and follow up on all complaints and issues.
  • Generate weekly reports for rentals, guests, and weekly sales and re-sales.
  • Open and distribute mail and packages.
  • Communicate with appropriate staff regarding property issues.
  • Follow safety procedures and maintain a safe work environment.
  • Utilize knowledge of social media platforms.
