About The Position

Under the direction of the Front Desk Supervisor, Manager and/or Director of Operations, the Front desk Representative is responsible for the daily administrative tasks of the front desk for all clinics. Organization, attention to detail, prioritizing problem solving and multitasking are necessary to ensure a high level of customer service. Customers include patients, physicians, vendors, clients and staff.

Requirements

  • High school diploma or general education degree (GED).
  • Minimum one year of experience in customer service in a high volume atmosphere.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees.
  • Ability to sort and file materials correctly by alphabetic and numeric systems.
  • Ability to calculate figures and amounts such as discounts, interest, and percentages.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with standardized situations with only occasional or no variables.
  • Knowledge of Electronic Medical Records (EMR), preferably Athena Database software.
  • Knowledge of Outlook and MS Word Processing software.

Nice To Haves

  • Minimum two years’ experience as a front desk associate in a health care organization.
  • Basic knowledge of insurance plans, coverage, and procedures.
  • Skills in operating computers, copying, scanning, and faxing.

Responsibilities

  • Greets and checks in patients, visitors, and vendors in a courteous, friendly, and professional manner.
  • Checks in patients, collects payments (co-pays, balances), manages a daily collection log, balances cash drawer, and submits reconciliation reports.
  • Maintains the cleanliness and tidiness of the front desk area and patient waiting rooms.
  • Screens visitors and responds accordingly, adhering to company procedures for deliveries.
  • Answers and routes phone calls in a friendly and professional manner.
  • Verifies patient demographic and insurance information, making necessary changes in the EMR system.
  • Reviews patient charts and schedules the day before clinic to anticipate intake needs, documentation, authorizations, co-pays, and insurance eligibility.
  • Prepares school and work excuses as needed.
  • Accepts and distributes x-rays and medical records for new patients.
  • Checks out patients and schedules follow-up appointments according to provider and practice protocols.
  • Assesses patient needs (wheelchairs/ambulation) and assists with calling transport if needed.
  • Maintains a high level of patient confidentiality.
  • Completes pod assignment board for the next day’s clinic.
  • Follows proper security procedures at the close of each day.
  • Receives and distributes faxes daily.
  • Collects, sorts, and distributes incoming mail.
  • Performs other duties as assigned.
