About The Position

Precision Healthcare Specialists is seeking a friendly, professional, and detail-oriented Front Desk Receptionist to support our ENT and Allergy specialty practice. The Front Desk Receptionist serves as the first point of contact for patients and plays an essential role in creating a welcoming, efficient, and positive patient experience. The ideal candidate will have excellent customer service and communication skills, experience working in a healthcare or medical office setting, and the ability to manage multiple responsibilities in a fast-paced environment. This position is responsible for patient check-in and check-out, appointment scheduling, insurance verification, collecting payments, maintaining accurate patient information, and providing administrative support to providers and clinical staff.

Requirements

  • High school diploma or equivalent.
  • Previous experience in a medical office, healthcare setting, or customer-facing administrative role preferred.
  • Strong customer service and interpersonal skills.
  • Excellent verbal and written communication skills.
  • Ability to communicate professionally and compassionately with patients, families, providers, and coworkers.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Basic knowledge of medical office procedures, appointment scheduling, and insurance verification.
  • Proficiency with computers, electronic health record (EHR) systems, and standard office software.
  • Ability to maintain patient confidentiality and comply with HIPAA regulations.
  • Dependable, professional, and able to work effectively as part of a team.

Nice To Haves

  • One or more years of experience working in a medical front-office or healthcare reception role.
  • Previous experience in an ENT, Allergy, or specialty medical practice.
  • Experience with insurance verification, eligibility, referrals, authorizations, and patient collections.
  • Familiarity with medical terminology related to ENT and allergy services.
  • Experience using an electronic health record (EHR) or practice-management system.
  • Bilingual in English and Spanish is preferred.

Responsibilities

  • Greet patients, visitors, and vendors in a professional, courteous, and welcoming manner.
  • Answer and manage incoming telephone calls, respond to patient inquiries, and direct calls to the appropriate department or team member.
  • Schedule, confirm, reschedule, and cancel patient appointments accurately and efficiently.
  • Complete patient check-in and check-out procedures.
  • Verify and update patient demographic information, insurance information, and contact details.
  • Confirm patient eligibility and insurance coverage when applicable.
  • Collect copayments, deductibles, outstanding balances, and other patient payments in accordance with practice policies.
  • Review patient registration forms and ensure all required documentation is complete and accurate.
  • Scan, upload, and maintain patient documents within the electronic health record (EHR) system.
  • Assist patients with completing required forms and provide general information regarding office procedures.
  • Coordinate patient appointments, referrals, testing, and follow-up visits as directed.
  • Communicate appointment information, scheduling updates, and patient concerns to providers and clinical staff.
  • Maintain accurate appointment schedules and assist with managing provider schedules.
  • Monitor patient flow and communicate delays or scheduling concerns to patients and the appropriate team members.
  • Assist with managing incoming and outgoing faxes, electronic communications, and other administrative correspondence.
  • Maintain a clean, organized, and professional reception and waiting area.
  • Follow all HIPAA requirements and maintain the confidentiality and privacy of patient information.
  • Provide exceptional customer service while maintaining professionalism and empathy when assisting patients.
  • Work collaboratively with providers, medical assistants, clinical staff, and administrative team members.
  • Assist with additional front-office or administrative responsibilities as assigned.
