About The Position

The Front Desk Receptionist is responsible for managing the reception area, greeting patients, scheduling appointments, and handling administrative tasks to ensure the smooth operation of the clinic. This role requires excellent customer service skills, attention to detail, and the ability to communicate effectively in both English and Spanish.

Requirements

  • High School graduate or GED.
  • At least one year front office/customer service required, preferably in Healthcare.
  • Bilingual highly preferred.
  • Reliable transportation.
  • Clean driving record.
  • Car insurance as required by the state.

Nice To Haves

  • One-year experience in a community health center preferred.

Responsibilities

  • Answers telephone calls in a timely manner, routes callers, and takes accurate messages.
  • Provides routine information to patients or staff regarding clinic operations, directions, and providers.
  • Distributes registration packets and provides assistance with completion.
  • Greets patients, clients, and visitors courteously.
  • Schedules, reschedules, and accommodates appointments, including walk-ins and same-day appointments.
  • Maintains a clean, safe, and well-stocked reception and waiting area.
  • Informs patients of delays and wait times.
  • Provides patients with surveys and information about the patient portal.
  • Retrieves and inputs patient registration information into ECW, verifying accuracy.
  • Ensures patients are seen in a timely manner.
  • Scans insurance and ID cards into the EMR system.
  • Assists with rescheduling no-show appointments and addressing barriers to care.
  • Verifies insurance eligibility and ensures accurate information at the time of service.
  • Assists patients in obtaining medical records.
  • Explains payment options, collects payments and co-pays, and assists with payment plans.
  • Performs initial patient screening and registration, updating forms annually.
  • Recognizes and informs providers of urgent service needs.
  • Assists with training new staff on organizational guidelines.
  • Answers inquiries and assists patients in navigating the healthcare system.
  • Obtains and analyzes patient financial information for accuracy.
  • Enters program eligibility and registration information accurately and timely.
  • Provides guidance and direction to visitors and patients, arranging escorts when necessary.
  • Issues receipts for payments.
  • Manages and reconciles the cash drawer daily.
  • Ensures every patient has a designated primary care physician and is seen by them when possible.
  • Obtains and documents patient communication barriers (vision, hearing, cognitive) and preferences regarding advance directives.
  • Maintains professional working relationships with staff, clients, and the public.
  • Cooperates in accomplishing department goals as a team player.
  • Maintains current knowledge of policies and procedures related to safe work practices.
  • Follows safety procedures and reports unsafe conditions.
  • Knows the location of fire extinguishers and emergency exits.
