About The Position

We are hiring a Front Desk Receptionist that will be primarily responsible for welcoming visitors, managing the reception area, answering phone calls, directing inquiries, scheduling appointments, handling basic administrative tasks, and ensuring a positive first impression for all guests by providing excellent customer service; often acting as the first point of contact for the company.

Responsibilities

  • Greeting guests: Professionally welcoming visitors upon arrival, directing them to the appropriate person or area.
  • Answering phone calls: Managing incoming calls, taking messages, transferring calls to relevant personnel.
  • Appointment scheduling: Coordinating and booking appointments for staff members using scheduling software.
  • Schedule large trash pick-ups.
  • Communicate and Coordinate with Janitorial Service/Inspections.
  • Order Lunch for meetings.
  • Check-in/Check-out procedures: Managing the check-in and check-out process for entering and exiting visitors.
  • Maintaining reception area/Office Supplies: Keeping the front desk area clean, organized, and stocked with necessary supplies. Purchase as required as well as order supplies for machines. Purchase and create postage as needed. Keep coffee fresh daily.
  • Mail and package management: Receiving, sorting, and distributing mail and packages. Courier requests and drop offs (FedEx, UPS, Hotshot).
  • Data entry: Inputting information into computer systems, updating records as needed.
  • Basic administrative tasks: Handling tasks like copying, faxing, filing documents. Company forms creation and maintenance, business card requests/orders, and create hard copy files and scan to network (AP, AR, Vendor, Customer, and Job).
  • It Systems Requests – coordinate with IT manager.
  • Maintain Employee Phone Lists.
  • Addressing inquiries: Answering general questions about the company, services, and directions.
  • Attendance: Being present at work during scheduled hours is an essential function. Must be able to maintain consistent and punctual attendance.
