About The Position

Special Touch Nursing Services is seeking a friendly, dependable, and highly organized Front Desk Receptionist to join our team. The Front Desk Receptionist is often the first person our clients, families, caregivers, job applicants, and community partners interact with. We are looking for someone who is professional, welcoming, organized, and able to provide an exceptional experience both in person and over the phone. This position is ideal for someone who enjoys working with people, thrives in a busy office environment, and takes pride in being helpful and keeping things organized.

Requirements

  • High school diploma or equivalent
  • Strong verbal and written communication skills
  • Basic computer proficiency
  • Ability to multitask and prioritize responsibilities
  • Professional and courteous telephone skills
  • Ability to maintain confidentiality

Nice To Haves

  • Previous receptionist or front-desk experience
  • Customer service experience
  • Administrative or office experience
  • Experience working in healthcare, home care, senior services, or a related environment
  • Experience with Microsoft Office and office software

Responsibilities

  • Answer incoming telephone calls promptly, professionally and with a positive attitude and direct calls to the appropriate team member.
  • Welcome clients, caregivers, applicants, vendors, and visitors to the office.
  • Assist callers and visitors with general questions and ensure their needs are directed to the appropriate department.
  • Take accurate and detailed messages and ensure timely communication with staff.
  • Assist with new client inquiries and gather basic information for appropriate follow-up.
  • Assist caregivers and job applicants who visit or contact the office.
  • Receive, organize, scan, copy, and distribute documents as needed.
  • Maintain an organized and professional front office and reception area.
  • Assist with basic administrative tasks, data entry, filing, and document preparation.
  • Receive and distribute incoming mail, deliveries, faxes, and other correspondence.
  • Maintain confidentiality of client, employee, and company information.
  • Communicate important or urgent concerns to the appropriate staff member promptly.
  • Provide administrative support to other departments as needed.
  • Helping wherever needed to keep the office running smoothly
  • Perform other duties as assigned.
