About The Position

Founded in 2004 by local physicians, Animas Surgical Hospital has been an integral part of the Four Corners region for more than two decades. Our goal has never been to be the only hospital in Durango but to be the best option for surgery, diagnostic imaging, emergency care, occupational medicine, and internal medicine. This role ensures the proper scheduling of operative procedures and preparation of the operating room schedule. The Surgery Scheduler collects all necessary clinical and insurance coding information for the surgery schedule. The Scheduler receives requests to schedule procedures from physician offices and schedules them according to established guidelines. This position requires strong computer literacy skills for various registration, insurance eligibility, and patient estimate tools. The role involves keeping ancillary departments and operating room staff informed of any issues that could impact care delivery. The Scheduler also initiates OR utilization for open or released block time, prioritizing patient safety, access, OR efficiency, patient service, and physician satisfaction. The Front Office Receptionist handles and routes all incoming calls, greets patients and their families, performs insurance verification, handles cash collections, and manages patient charts.

Requirements

  • High School Diploma or equivalent required.
  • Office experience in a healthcare environment.
  • Medical terminology.
  • Ability to multitask and prioritization skills preferred.
  • Experience with Microsoft Office, Outlook, Excel, Word, Power Point.
  • Utilization of website search engines.

Responsibilities

  • Coordinates and schedules surgical cases by collaborating with patients, families, staff, provider offices, and the community to schedule surgeries, pre-op physicals, and surgical planning testing.
  • Interacts with patients, physician offices, and other staff, providing timely, accurate, and responsive information.
  • Coordinates with hospital vendors regarding surgical implants and equipment.
  • Ensures efficient written and verbal communication to various stakeholders.
  • Identifies scheduling barriers and implements solutions to improve scheduling results.
  • Identifies ways to streamline the surgical scheduling process and provides suggestions to managing staff.
  • Confirms all equipment scheduling needs, including but not limited to: c-arm, hemasource, pathology, sterile surgical equipment, and special order supplies.
  • Monitors the OR schedule, releasing open block time appropriately.
  • Monitors and maintains the bed calendar, ensuring appropriate bed scheduling for accurate census allocation.

  • Utilizes concepts of age/developmental stages in interactions with patients and families.
  • Receives patients and visitors and provides assistance in scheduling appointments, patient registration, medical chart maintenance, and the coordination of patient referrals.
  • Greets patients and visitors in a courteous and professional manner and verifies patient contact and insurance information on file.
  • Registers patients, ensuring that all demographic information is current.
  • Ensures that required documents are received and documented in the patient’s record, such as Physician orders, results of patient history and physical exams, advance directives, patient bill of rights, and notice of ownership disclosure.
  • Creates, files, and retrieves patient charts as needed, ensuring proper security measures are followed to maintain confidentiality of all patient information.
  • Answers non-medical questions and gives routine non-medical instructions.
  • Enters demographics of new patients, including insurance information, into the applicable system.
  • Ensures appropriate patient signatures are secured for informed consents prior to service being rendered.
  • Ensures that referrals are available and, if required, coordinates the exchange of patient data with referral sources.
  • Answers incoming telephone calls, handling calls if applicable and otherwise routing calls to the appropriate party or taking messages.
  • Collects, verifies, and enters into the applicable system, all insurance and third-party resources for payment.
  • May coordinate insurance verification with insurance companies through an online eligibility verification system on a case-by-case basis.
  • Communicates with patients regarding their financial responsibility and collects money such as copayments for procedures.
  • May escort patients throughout the Center to ensure proper office flow.
  • Understands and abides by all HIPAA policies and procedures.
  • Maintains inventory of office supplies.
  • This role excludes performing any clinical tasks related to patients, including assessment or evaluation of a patient’s medical condition, providing clinical advice, or medical care or recommendations.
  • Demonstrated knowledge of potential exposure to hazardous materials (i.e., patient body fluids, disinfectant chemicals) and location of SDS sheets.
  • Participates in QAPI and Safety Program.
  • Performs other duties as assigned.
