About The Position

J&Y Law is seeking a professional, organized, and customer-service-oriented Front Desk Receptionist / Legal Assistant to join our growing Personal Injury team. This role serves as the first point of contact for clients, visitors, and vendors while also providing administrative and legal support to our case management and litigation teams. The ideal candidate is bilingual in English and Spanish, enjoys helping people, has strong organizational skills, and thrives in a fast-paced law firm environment. J&Y Law is a rapidly growing Plaintiff Personal Injury and Elder Abuse law firm dedicated to providing exceptional representation and outstanding client service. We are committed to helping injured clients navigate difficult situations while delivering compassionate and results-driven legal advocacy.

Requirements

  • Fluent in both English and Spanish (written and verbal)
  • Minimum 1 year of receptionist, administrative, or legal assistant experience
  • Strong customer service skills
  • Excellent communication skills
  • Professional appearance and demeanor
  • Strong attention to detail
  • Ability to multitask and prioritize effectively
  • Reliable attendance and punctuality
  • Proficiency with Microsoft Outlook, Word, and Excel

  • Experience working in a Personal Injury law firm
  • Experience handling legal documents and client files

  • Knowledge of medical records and insurance documentation

Responsibilities

  • Greet clients, guests, and vendors in a professional and welcoming manner
  • Answer and direct incoming phone calls
  • Assist Spanish-speaking clients and callers
  • Manage visitor sign-in procedures
  • Maintain a professional reception area
  • Coordinate conference room scheduling
  • Sort, distribute, and process incoming mail
  • Prepare and send outgoing mail, certified mail, FedEx, UPS, and courier packages
  • Scan and upload documents into the case management system
  • Process checks and route them to the appropriate department
  • Assist with office supply inventory and ordering
  • Assist attorneys, case managers, and support staff with administrative legal tasks
  • Prepare correspondence and legal documents
  • Request and organize records
  • Upload and organize case-related documents
  • Assist with file opening and file maintenance
  • Update client information and case notes
  • Support various departments as needed
