About The Position

Messerli Kramer, a respected law firm with offices in Minneapolis, St. Paul, St. Michael, and Plymouth, Minnesota, is seeking a Front Desk Receptionist/Hospitality Coordinator for its downtown Minneapolis office. This role is the first point of contact for clients and visitors, representing the firm's professional and welcoming image. The position requires creating a professional and welcoming environment for clients and guests, maintaining organization, and providing high-quality administrative and hospitality support to ensure smooth daily operations.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 2 years of administrative or receptionist experience, ideally in a legal or professional services setting.
  • Proficient in Microsoft Outlook.
  • Familiar with RingCentral phone system.
  • Outstanding interpersonal and client service skills.
  • Excellent verbal and written communication skills.
  • Friendly, professional, and approachable demeanor.
  • Highly reliable, organized, and detail-oriented.
  • Ability to be a team player, help where needed and multitask.
  • Professional demeanor and ability to remain calm under pressure.
  • Strong problem-solving skills and a proactive mindset.

Responsibilities

  • Support the front desk and answer a multi-line switchboard, screening and routing calls professionally and efficiently.
  • Greet and assist clients, guests, and staff with professionalism and courtesy.
  • Track and manage all incoming deliveries, notify parties of deliveries, and maintain the package log.
  • Sort and open daily mail for staff.
  • Coordinate messenger services for the firm.
  • Monitor office and coffee/beverage inventory levels and process orders as needed.
  • Manage the parking validation log and ensure timely entries.
  • Email daily communications regarding support staff schedules and maintain awareness of staff whereabouts.
  • Oversee visitor access and uphold office security protocols.
  • Assist with scheduling, coordinating conference rooms, catering needs, event logistics, setup, and décor for events and meetings.
  • Coordinate food and beverage needs or event services for special events and meetings, including ordering, delivery, and setup/cleanup.
  • Manage and schedule meetings using the online resource scheduler calendar system.
  • Maintain daily cleanliness of the reception area, conference rooms, coffee/beverage stations, and guest spaces; load/unload the dishwasher as needed.
  • Submit and follow up on building maintenance requests.
  • Provide backup support to the mailroom and Legal support staff with tasks such as scanning, transcription, copying, conflict checks, attorney time entry, and document management.
  • Provide support to departments with miscellaneous administrative projects and initiatives as assigned.
