About The Position

The NYC Department of Probation (DOP) is a world leader in working creatively and effectively engaging with people under court-mandated community supervision. Following the best current data on “what works,” staff at DOP engage in meaningful relationships with those on probation to enhance community safety and decrease recidivism. The NYC Department of Probation is looking to hire 4 Community Assistants to serve as Front Desk Receptionists. They will be assigned to floor coverage and serve as the primary point of contact for all visitors and guests on restricted floors at the Department of Probation headquarters. They will be responsible for managing visitor access, maintaining accurate visitor records, and applying established entry protocols consistently and professionally throughout each shift. This role requires a welcoming demeanor, strong attention to detail, and the ability to exercise sound judgment in a structured environment.

Responsibilities

  • Greet all individuals approaching a restricted floor in a courteous and professional manner.
  • Verify that all visitors present valid, government-issued photo identification prior to granting floor access.
  • Confirm that the visitor has a scheduled appointment or a staff member expecting them.
  • Contact the staff member being visited to come down and escort the guest when the visitor cannot present valid identification or cannot be independently verified.
  • Deny unescorted access to any individual who cannot produce valid ID, without exception.
  • Maintain the physical visitor log at the assigned coverage post throughout the full shift.
  • Record the following for every visitor upon arrival: full name, date, time in, destination floor, staff member being visited, and type of government-issued ID presented.
  • Record departure time when the visitor exits the floor.
  • Keep the log legible, complete, and available for supervisor review at all times.
  • Remain at the assigned coverage post for the full shift unless formally relieved by a supervisor.
  • Maintain a professional appearance and demeanor as a representative of the agency.
  • Report any unusual, suspicious, or escalating situations to a supervisor immediately.
  • Document relevant details in the visitor log and notify the supervisor on duty.
  • Cooperate fully with building security and agency leadership during any incident review.
