About The Position

HTM’s headquarters is where donors, partners, and visitors first connect with the organization. The Front Desk Lead is often the first person they meet, and they help create a welcoming and professional experience. This role reports to the Director of Development and manages the front desk. Responsibilities include greeting visitors, answering calls and emails, coordinating donation pickups, preparing receipts and mailings, and supporting donor outreach. The Front Desk Lead also helps with tours, handles mail and deliveries, supports leadership with administrative tasks, and helps oversee front desk staff and volunteers. This role helps shape how people see HTM by making sure every interaction is friendly, organized, and professional.

Requirements

  • Ability to proficiently operate a PC, MAC, fax, and telephone
  • Prolonged periods of sitting at a desk and working on a computer
  • Ability to walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis.
  • Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead
  • Occasionally lift and/or move, push, and pull up to 25 pounds.
  • This position requires travel to multiple locations. Travel percentage: 25%
  • Strong analysis abilities, creative thinking and ability to problem solve on an organization-wide basis.
  • Proficient in Microsoft Programs (Word, Excel, Access, PowerPoint)
  • Strong written and verbal communication skills, including customer service focus in working with all internal organizational levels and external contacts.
  • Highly collaborative within a team environment.
  • Highly motivated self-starter with the ability to coordinate multiple projects/tasks simultaneously within tight department metrics and deadlines.
  • Background Screening – Employment is contingent upon the successful completion of a criminal background check.
  • Drug and Alcohol Testing – Candidates must pass pre-employment and, if applicable, ongoing drug and alcohol screenings in accordance with company policy.
  • Motor Vehicle Record (MVR) Check – For roles requiring driving, employment is contingent upon an acceptable driving record.
  • Legal Eligibility to Work – Candidates must provide proof of legal authorization to work in the United States.
  • Compliance with Company Policies – All employees must comply with company policies, including safety, confidentiality, and conduct standards.

Responsibilities

  • Greet visitors in a warm and professional manner and notify staff of arrivals
  • Answer and direct phone calls and emails promptly and politely
  • Help create a welcoming and organized front office environment
  • Coordinate donation pickups with the Lead Driver
  • Prepare and send donor receipts and support large donor mailings
  • Conduct donor thank-you calls to help maintain relationships
  • Assist with donor tours and partner visits when needed
  • Support the Director of Development and other departments with daily tasks
  • Draft emails and follow up on calls or messages as assigned
  • Submit executive receipts and invoices for processing
  • Receive, sort, and route mail and deliveries based on audit requirements
  • Order and track office and breakroom supplies to maintain stock
  • Keep office, executive spaces, and common areas clean and organized
  • Assist with creating and displaying signage, artwork, and materials for donor engagement
  • Help oversee the secondary receptionist and administrative volunteers
  • Complete other administrative tasks and special projects as assigned
