About The Position

We are seeking an organized and approachable Front Desk - Intake Specialist to one of our customer locations. The ideal candidate will serve as the first point of contact their clients and visitors, ensuring a welcoming and efficient front desk experience. The Front Desk - Intake Specialist will manage initial client interactions, gather necessary information, and assist with administrative tasks to support the smooth operation of the office.

Requirements

  • Strong communication and interpersonal skills with a focus on customer satisfaction.
  • Proficiency in using computer systems and office software, including MS Office Suite.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Detail-oriented with excellent organizational abilities.
  • High school diploma or equivalent

Nice To Haves

  • Proven experience in a customer service or administrative role is preferred.
  • additional education or training in office administration is a plus.

Responsibilities

  • Greet and assist visitors, clients, and staff with a friendly and professional demeanor.
  • Conduct intake interviews to efficiently gather and verify client information.
  • Maintain accurate records and update the client database with relevant details.
  • Answer and direct incoming phone calls, addressing inquiries or redirecting as necessary.
  • Schedule appointments and maintain an organized calendar for staff and clients.
  • Handle basic administrative duties such as filing, photocopying, and document preparation.
  • Collaborate with team members to ensure client needs are met promptly and effectively.
  • Uphold confidentiality and adhere to company policies and procedures.
  • Provide support in managing office supplies and inventory if necessary.
