About The Position

The Front Desk Coordinator serves as the first point of contact for visitors, employees, and vendors while providing comprehensive administrative, office operations, facilities, and hospitality support. This role is responsible for reception services, mail and shipping operations, office supply management, visitor coordination, event support, onboarding assistance, vendor and building management coordination, and maintaining an organized, professional office environment.

Requirements

  • High school diploma or equivalent preferred.
  • Excellent customer service, hospitality, verbal, and written communication skills.
  • Hospitality-focused approach with a passion for creating a welcoming and professional office environment.
  • Must possess the ability to prioritize daily work volumes and changing demands.
  • Ability to learn quickly and retain knowledge of new skills and processes.
  • Ability to multi-task, stay organized, and meet deadlines in a fast-paced environment.
  • Strong PC skills and proficiency with Microsoft Office applications.
  • Strong attention to detail and commitment to providing exceptional support to employees, guests, and vendors.

Responsibilities

  • Serve as the first point of contact for visitors, employees, and vendors by providing a professional and welcoming experience.
  • Answer, screen, and route incoming telephone calls; take and relay messages as needed.
  • Manage visitor check-in, meeting arrivals, conference room scheduling, and reception area communications.
  • Coordinate incoming and outgoing mail, courier services, FedEx shipments, and weekly community mailings.
  • Process and distribute mail, packages, and deliveries in a timely manner.
  • Maintain office supply, kitchen, and snack inventories; order supplies through approved vendors as needed.
  • Perform daily office rounds to ensure coffee stations, break rooms, conference rooms, and common areas are clean, stocked, and organized.
  • Provide administrative support including scanning, copying, filing, document preparation, and other clerical tasks.
  • Assist with office meetings, employee events, lunches, and other company functions.
  • Prepare shipping labels, track shipments, and maintain related records and documentation.
  • Support invoice coding, purchasing card reconciliation, expense reporting, and other administrative workflows.
  • Assist with new hire onboarding, office tours, and workspace readiness.
  • Coordinate with building management regarding facility issues, repairs, access requests, parking passes, and office security fobs.
  • Maintain a clean, organized, and professional reception area and office environment.
  • Provide general administrative and operational support to the Office Manager and leadership team as needed.
